Reed are delighted to be partnering with a leading professional services organisation to recruit a Facilities Assistant to join their busy and supportive team.
This is an excellent opportunity for an organised and proactive individual who enjoys variety in their role and takes pride in delivering outstanding internal customer service. Working closely with the Facilities team, you will support the smooth day-to-day running of the office environment, ensuring colleagues have everything they need to work effectively.
The Role
As Facilities Assistant, you will be responsible for a wide range of facilities and office support duties, including archiving, mailroom services, health and safety administration, reprographics, and workplace maintenance.
Key duties will include:
- Scanning, archiving and maintaining records for important documents and files using a computerised database system
- Managing mailroom activities and ensuring post is processed efficiently
- Providing support to colleagues with stationery, office supplies and general workplace requests
- Delivering reprographics and document production support as required
- Ordering stationery, consumables and other office essentials
- Reporting, investigating and coordinating repairs and maintenance issues
- Monitoring cleaning standards and escalating any concerns where necessary
- Supporting office moves and workspace reconfigurations
- Managing storage areas, recycling processes and kitchen standards
- Assisting with Health & Safety inductions for new starters and maintaining accurate records
- Providing cover and support across other office locations when required
About You
To be successful in this role, you will have:
- Previous experience within a facilities, office support, administration or customer service environment
- Strong organisational skills with the ability to prioritise a varied workload
- Excellent communication and customer service skills
- Good working knowledge of Microsoft Office, including Word and Excel
- A proactive and hands-on approach to problem solving
- A minimum of 5 GCSEs (Grade A-C / 4-9), including English and Maths
Desirable:
- Previous experience within a legal or professional services environment
- Experience of archiving and records management
- Previous mailroom or post-room experience
