Financial Planning Administrator

Our client, a well-established and growing Financial Planning practice, is seeking a skilled IFA Administrator to become a key member of the team. Working closely with the Managing Director, an additional Financial Adviser, and supporting around 120 client households, this is a senior administrative position requiring confidence in managing the full client journey with minimal supervision.
You’ll be supported by a junior administrator and work alongside an experienced paraplanner. For candidates interested in broadening their technical expertise, there is an opportunity to progress into paraplanning over time. Equally, the firm welcomes individuals who wish to develop a long-term career within senior financial planning administration.
Key Responsibilities
- Managing the complete client administration process, including new business, client onboarding, annual reviews, and ongoing servicing.
- Processing investment transactions, fund switches, withdrawals, and other platform instructions.
- Handling Letters of Authority (LOAs) and overseeing provider transfer requests from start to finish.
- Maintaining accurate and up-to-date client information within the Plannr CRM system.
- Preparing documentation and coordinating annual review meetings.
- Acting as a professional point of contact for clients, providers, and investment platforms.
- Assisting with model portfolio rebalancing following annual reviews, investments, or withdrawals.
- Providing general administrative support to ensure the efficient day-to-day running of the business.
- As your role develops, supporting the preparation of annual review reports, drafting straightforward client recommendations (such as withdrawal adjustments or investing surplus funds), and maintaining client cashflow plans using Voyant.
About You
We’re looking for someone who has:
- Around two years’ experience within an IFA or financial planning firm.
- A sound understanding of the financial advice process, including investment platforms, pensions, ISAs, investment bonds, and associated administration.
- Knowledge of platforms such as AJ Bell, Aviva, or Transact would be beneficial, although not essential.
- Experience using Plannr or a similar CRM system, with familiarity in Voyant cashflow modelling considered an advantage.
- Excellent organisational skills, strong attention to detail, and the ability to manage multiple tasks effectively.
- A proactive approach, alongside a professional and personable manner when communicating with both clients and colleagues.
- No mandatory qualifications are required, although progress towards or completion of relevant CII qualifications would be advantageous. The business is committed to supporting ongoing professional development and will fund suitable industry exams for the successful candidate
