About the role
The role holder will be part of the LCS Fleet Team responsible for Fleet Compliance and Administration within the Lampton Business units and its subsidiaries, working in partnership with the Hounslow Council’s. The Fleet Coordinator will ensure Group policies and statute regulations relating to these areas are applied and consistently maintained. This will include regular site visits and Joint meetings with our maintenance providers. Areas of non-compliance are to be reported to the responsible line manager/Senior Management

Key Responsibilities: -
Fleet Compliance- Ensure all vehicle maintenance records are maintained and readily available for audit purposes.
- Monitor and maintain compliance with Operator Licence requirements.
- Assist with vehicle compliance audits and inspections.
- Maintain accurate records of PMI inspections, MOTs, LOLER examinations and servicing schedules.
- Monitor driver licence checks and CPC qualification requirements.
- Support the management of tachograph compliance and infringement reporting.
- Coordinate vehicle servicing, inspections and repairs with maintenance providers.
- Monitor vehicle downtime and availability.
- Ensure defects are reported, investigated and repaired within agreed timescales.
- Monitor vehicle off road (VOR) reports and escalate concerns where necessary.
- Support warranty claims and repair authorisations.
- Maintain accurate fleet records and databases.
- Process purchase orders, invoices and repair authorisations.
- Produce fleet performance reports and management information.
- Maintain vehicle registration, taxation and insurance records.
- Support procurement and vehicle replacement programmes.
- Liaise with maintenance providers, leasing companies and external contractors.
- Attend supplier performance meetings.
- Monitor supplier service delivery against agreed KPIs.
- Escalate service failures and support corrective action plans.
- Conduct regular site visits across Lampton locations.
- Support vehicle investigations and incident reviews.
- Assist with accident management and insurance claims.
- Provide advice and guidance to managers and drivers regarding fleet policies and procedures.
- Identify opportunities to improve fleet performance and efficiency.
- Support implementation of fleet management systems and technology.
- Contribute to policy development and compliance initiatives.
- Promote best practice across all fleet operations
Person Specification: -
Essential Experience- Minimum two years' experience working within fleet management, transport operations, vehicle maintenance or a similar environment.
- Experience maintaining accurate records and databases.
- Experience dealing with vehicle maintenance providers and external suppliers.
- Experience producing reports and analysing fleet data.
- Experience working within compliance-driven environments.
- Vehicle maintenance processes and fleet administration.
- Operator Licence requirements.
- DVSA regulations and roadworthiness requirements.
- Driver licence checking procedures.
- Health and Safety legislation relating to vehicle operations.
- Fleet management systems and telematics.
- Excellent organisational and administrative skills.
