We’re a fast-paced, ambitious business focused on keeping our vehicles compliant, maintained, utilised and on the road. As we continue to grow, we’re looking for an experienced and highly organised Fleet Coordinator to join our Fleet Operations team.
The Role
As a Fleet Coordinator, you’ll play a key role in the day-to-day management of our vehicle fleet.
This is a hands-on operational position. You’ll be coordinating vehicles through servicing, MOTs, PCO licensing, repairs, breakdowns and other fleet requirements while working closely with our workshop, drivers, suppliers and internal teams.
Your priority is simple: keep vehicles compliant, minimise downtime and get vehicles back on the road quickly.
We’re looking for someone who is organised, commercially aware and comfortable managing multiple priorities in a busy fleet environment.
Key Responsibilities

Coordinate the day-to-day movement and status of vehicles across the fleet.

Schedule and monitor MOTs, PCO inspections, servicing, maintenance and repairs.

Ensure vehicles remain legally compliant and required documentation is kept up to date.

Monitor vehicles that are off-road and actively work to minimise downtime.

Liaise with workshops, dealerships, recovery companies and external suppliers.

Coordinate vehicle breakdowns, recoveries and repairs.

Track vehicles through the repair process and proactively chase outstanding work.

Maintain accurate vehicle records and update fleet management systems.

Coordinate vehicle collections, returns, swaps and replacements.

Support the onboarding of new vehicles and removal of de-fleeted vehicles.

Monitor vehicle technology including trackers, immobilisers and dashcams.

Work closely with Sales and Customer Support to ensure vehicle availability is accurately communicated.

Identify recurring vehicle or supplier issues and escalate where necessary.

Carry out regular fleet audits and ensure vehicle records accurately reflect the physical fleet.

Produce and maintain operational reports covering vehicle status, downtime and outstanding actions.
What We're Looking For
Previous fleet, vehicle rental, automotive or transport experience is strongly preferred.
You should be:

Highly organised with excellent attention to detail.

Confident managing a large number of vehicles and outstanding actions simultaneously.

Proactive – you chase problems rather than waiting for updates.

Comfortable working in a fast-paced operational environment.

Confident communicating with drivers, workshops, dealerships and suppliers.

Able to prioritise effectively when several urgent issues happen at once.

Comfortable using CRM, fleet management and other computer-based systems.

Commercially minded and understand that every unnecessary day a vehicle is off-road costs the business money.

A strong team player who is also comfortable taking ownership of tasks.
Experience within car rental, PCO/private hire, fleet management, vehicle leasing, automotive aftersales or workshop operations would be particularly advantageous.
A full UK driving licence is preferred.
