An exciting opportunity has arisen for an organised and proactive Fleet Coordinator to support the day-to-day administration and operational management of a national vehicle fleet. This role will play a key part in ensuring fleet compliance, coordinating vehicle-related activities, managing supplier relationships and supporting drivers across the organisation.

Key Responsibilities

  • Maintain accurate fleet records including MOTs, vehicle tax, insurance, servicing and compliance documentation.
  • Monitor vehicle compliance schedules and ensure actions are completed within required deadlines.
  • Support driver licence checking processes and maintain associated records.
  • Coordinate vehicle deliveries, collections, transfers and disposals.
  • Act as a point of contact for vehicle-related queries and driver escalations.
  • Liaise with fleet management providers regarding vehicle maintenance, repairs, breakdowns and replacement vehicles.
  • Build strong relationships with suppliers, leasing providers and internal stakeholders.
  • Produce fleet reports and management information for management review.
  • Support purchase order, invoice reconciliation and fleet expenditure tracking.
  • Manage fleet mailboxes and provide general administrative support to the wider Fleet and Procurement teams.

Profile

The ideal candidate will be an experienced Coordinator or Administrator with strong organisational skills and the ability to manage multiple priorities in a fast-paced environment.

You will possess:

  • Previous experience within an administrative or coordination role.
  • Strong customer service and stakeholder management skills.
  • Excellent attention to detail and record-keeping abilities.
  • Proficiency across Microsoft Office, including Excel.
  • Experience maintaining databases and accurate records.
  • Confident communication skills, both written and verbal.
  • A proactive approach with the ability to work independently.
  • A full UK Driving Licence with fewer than six penalty points.

Experience within fleet, transport, logistics or vehicle-related environments would be advantageous but is not essential.
