FM & Capital Works Coordinator

We are seeking an organized, proactive, and detail-oriented Capital Works / Construction Coordinator to join a busy and expanding project team based in Newcastle.

In this vital support role, you will serve as the administrative backbone of our capital works projects. You will ensure that all project documentation, scheduling, compliance records, and stakeholder communications run seamlessly from initial planning through to final handover. KEY RESPONSIBILITIES

  • Document Control: Prepare, compile, and manage project files, Operation & Maintenance (O&M) manuals, Health & Safety files, and RAMS (Risk Assessments and Method Statements).

  • Scheduling & Coordination: Coordinate diaries, site visits, and project meetings for the Capital Works team, ensuring site engineers, sub-contractors, and clients are fully aligned.

  • Commercial Support: Raise purchase orders (POs), process supplier invoices, track project expenditures against budgets, and assist with general financial administration.

  • Stakeholder Liaison: Act as a primary point of contact for internal teams, sub-contractors, and clients—handling enquiries promptly and professionally.

  • Compliance & Record Keeping: Maintain accurate logs of project progress, compliance certificates, sub-contractor accreditations, and site safety audits using internal management software.

  • Operational Support: Provide high-level administrative assistance to Capital Works Managers to drive operational efficiency across active sites.

REQUIREMENTS & PERSON SPECIFICATION

  • Experience: Proven administrative or coordination experience within a construction, facilities management (FM), property, or engineering environment.

  • Technical Skills: Highly proficient in the Microsoft Office Suite (Excel, Word, Outlook) with the ability to quickly adapt to internal project management databases.

  • Organisation: Exceptional time-management and multi-tasking skills, with a track record of meeting strict deadlines in a fast-paced setting.

  • Attention to Detail: Meticulous approach to compliance tracking, data entry, and document accuracy.

  • Communication: Excellent written and verbal communication skills with a professional, confident telephone manner.

WHAT WE OFFER

  • Competitive Salary: £28,000-£30,000 per annum.
