Livingston | Hybrid Working (3 Days Office / 2 Days Home) | Up to £30,000 DOE

FMSS Recruitment are delighted to be partnering with a well-established Facilities Management business to recruit an FM Planner to join their growing team based in Livingston.

This is an excellent opportunity for an experienced planner or scheduler who enjoys working in a fast-paced environment, coordinating engineers and ensuring exceptional service delivery to clients. You'll become part of a supportive, close-knit team with the flexibility of hybrid working.

The Role

As an FM Planner, you'll be responsible for scheduling engineers, coordinating planned and reactive maintenance works, and ensuring contractual service levels are consistently achieved. Working closely with clients, engineers and subcontractors, you'll play a key role in keeping operations running smoothly.

Key Responsibilities

  • Plan and coordinate engineers' diaries to maximise productivity.
  • Schedule planned preventative maintenance (PPM) and reactive maintenance works.
  • Ensure service level agreements (SLAs) and key performance indicators (KPIs) are consistently achieved.
  • Liaise with engineers, subcontractors and clients regarding appointments and job updates.
  • Monitor and reschedule works where necessary.
  • Update CAFM systems accurately with job progress and completion information.
  • Raise and manage work orders.
  • Provide excellent customer service via telephone and email.
  • Support the wider planning team with day-to-day operational activities.
  • Maintain accurate records and documentation.

About You

We're looking for someone who has previous planning or scheduling experience within the Facilities Management sector and enjoys working in a busy operational environment.

You'll ideally have:

  • Previous experience planning engineers within Facilities Management.
  • Experience coordinating both planned and reactive maintenance.
  • Excellent organisational and communication skills.
  • Strong IT skills and experience using CAFM systems.
  • The ability to prioritise workloads in a fast-paced environment.
  • A proactive and customer-focused approach.

Desirable System Experience

Experience using one or more of the following systems would be highly advantageous:

  • Joblogic
  • E Works
  • Vantify
  • E Logbook
