FM Projects Manager

Salary: £40,000–£45,000 per annum, depending on experience, plus car allowance
Location: Coventry based, with regular travel to sites across the Midlands and UK
Contract: Permanent, full-time

The Opportunity

An established and growing facilities management business is seeking an experienced and highly organised FM Projects Manager to take ownership of a varied portfolio of commercial property maintenance, refurbishment and improvement projects.

This is a pivotal position within the business, requiring someone who can manage projects from initial instruction through to completion, maintain oversight of several live sites and make confident operational decisions when priorities change.

Working within a fast-paced SME environment, you will coordinate labour, manage project schedules, direct internal teams and ensure that works are delivered safely, efficiently and within the required timescales.

The successful candidate will be proactive, commercially aware and comfortable taking responsibility. You will need the judgement and tenacity to make decisions, redirect resources and challenge colleagues at all levels when necessary to keep projects moving.

The Role

As FM Projects Manager, you will assume responsibility for the planning, coordination and delivery of multiple facilities management and building-services projects.

You will regularly review project schedules, identify changes or urgent requirements and take immediate action to prevent delays. This may involve moving labour between sites, reprioritising workloads, sourcing additional resources or escalating issues where appropriate.

You will work closely with the Administration and Coordination team to ensure projects are correctly established on internal systems, documentation is complete, labour and materials are organised and relevant information is communicated clearly.

Regular site visits will allow you to assess progress, resolve operational issues, monitor quality and ensure projects remain on track for timely completion.

Key Responsibilities

  • Taking ownership of projects from initial instruction through to completion, snagging and final handover
  • Setting up projects on internal systems and ensuring all documentation, procedures and reporting requirements are followed
  • Producing, maintaining and regularly reviewing project schedules, programmes and delivery plans
  • Identifying changes, risks, delays and urgent requirements, taking decisive action before they affect completion
  • Coordinating directly employed operatives, subcontractors, materials, equipment and other project resources
  • Reallocating labour between sites and reprioritising workloads to protect deadlines and service delivery
  • Directing operational employees and, where necessary, senior colleagues to ensure agreed actions are completed
  • Visiting sites to monitor progress, workmanship, safety and compliance and to resolve delivery issues
  • Working closely with the Administration and Coordination team to maintain accurate information and efficient scheduling
  • Maintaining clear and timely communication with clients, colleagues, suppliers and subcontractors, including managing a high volume of email correspondence
  • Monitoring project costs, variations, labour usage, budgets and overall commercial performance
  • Ensuring works comply with RAMS, health and safety requirements, company procedures and relevant legislation
  • Supporting improvements to internal project-management systems, processes and working practices

About You

You will be an experienced Project Manager with a background in facilities management, commercial property maintenance, refurbishment, construction or a closely related environment.

You must be comfortable managing several projects simultaneously within a reactive operation where schedules, priorities and client requirements can change at short notice.

This is more than an administrative or project-tracking role. You will need the authority, resilience and practical judgement to take control of situations, make executive decisions and hold others accountable for delivering agreed actions.

You will ideally demonstrate:

  • Previous project-management experience within FM, commercial maintenance, refurbishment or construction
  • Experience managing projects from initial scope and planning through to delivery and completion
  • Strong scheduling, resource-management, time-management and organisational skills
  • The ability to prioritise effectively within a fast-moving, reactive environment
  • A highly detail-oriented, process-driven and commercially aware approach
  • Confident decision-making, sound judgement and the tenacity to follow actions through
  • The ability to direct employees and influence colleagues at all levels of a business
  • Strong written and verbal communication skills
  • Experience coordinating direct labour, subcontractors, suppliers and multiple live sites
  • A practical understanding of health and safety, RAMS and site compliance
  • Good IT skills, the ability to learn internal systems and a full UK driving licence
