The Import & Export Coordinator is responsible for managing and coordinating national and international shipments of confectionery products to and from customers, vendors and distributors worldwide. The role ensures compliance with export regulations, maintains accurate documentation, coordinates with logistics providers, and supports customers to ensure timely and efficient delivery while maintaining product quality and food safety standards.
Essential Duties and Responsibilities:
· Arrange national and internation shipments, including obtaining quotes from various logistics providers.
· Prepare and process export documentation, including commercial invoices, packing lists/delivery notes, certificates of origin, health certificates, and customs documents where needed.
· Ensure all shipments comply with relevant international trade regulations and customer requirements.
· Maintain accurate records and shipment tracking information.
· Book in deliveries with customers as per the customers’ requirements.
· Book deliveries into our goods in department once shipments are agreed/arranged from our vendors.
· Process daily invoices for despatched items.
· Create pallet labels or equivalent.
· Act as the primary point of contact for international customers regarding orders and shipments.
· Work closely with quality assurance teams to ensure compliance with food safety standards such as SALSA, HACCP, and customer specifications.
· Take lead on monitoring changes in international trade regulations and export requirements.
· Seek authority to amend company policy in line with the above and implement.
· Track key performance indicators (KPIs) such as on-time delivery and export order accuracy.
Experience / Qualifications:
· Previous experience in export administration, logistics coordination, or international customer service.
· Experience within the food, FMCG, confectionery, or manufacturing sector is desirable but not essential.
· Knowledge of international shipping procedures, Incoterms, and customs documentation.
· Strong organisational and multitasking abilities.
· Excellent communication and customer service skills.
· High attention to detail and accuracy.
· Proficiency in Microsoft Office, particularly Excel.
· Experience using ERP systems (e.g. Business Central or similar)
· Ability to work under pressure and meet strict deadlines.
· Strong problem-solving and analytical skills.
· Knowledge of export compliance and international trade regulations.
Hours – 8.30-5 Monday to Thursday, 9-1 Friday.
Pay - £13.20 per hour.
