Absolute Law Recruitment are seeking a Legal Receptionist/Administrator to work for a well established and growing Law Firm in Canterbury.  We are looking for an organised, friendly and proactive Legal Receptionist to become the face of our client and provide first-class administrative support to their team.

The Role

You will be the first point of contact for clients, visitors and callers, ensuring every interaction reflects the firm's high standards of professionalism. Alongside managing their busy reception, you will provide essential administrative support to help ensure the smooth day-to-day running of the office.

Key Responsibilities

Reception Duties

  • Answer incoming telephone calls professionally and efficiently, directing calls to the appropriate department or colleague.
  • Take accurate messages and ensure they are passed on promptly.
  • Welcome clients and visitors, providing a warm and professional first impression.
  • Maintain visitor sign-in and sign-out records and ensure compliance with office security procedures.
  • Monitor meeting room bookings, prepare rooms for client meetings and anticipate visitor arrivals.
  • Respond promptly and effectively to general enquiries from clients and other contacts.
  • Prepare, frank and organise outgoing post for daily collection.
  • Maintain a tidy, organised and professional reception area and meeting rooms at all times.

Administrative Duties

  • Monitor and replenish office supplies and stationery.
  • Manage the archiving process of files, accurately recording archive reference numbers on both physical files and the firm's Practice Management System.
  • Scan, copy and prepare legal documents as required.
  • Provide reliable administrative support to the Practice Manager and legal teams.
  • Assist with ad hoc projects and office administration to support the efficient running of the firm.

The successful candidate will have:

Experience

  • At least one year's experience in a professional or client-facing environment.
  • Experience dealing confidently with members of the public and handling client enquiries.
  • Strong administrative experience with excellent organisational skills.
  • Good IT skills, including Microsoft Office applications (experience of a legal Practice Management System would be an advantage).
  • Experience working collaboratively as part of a team.
