Lettings Deal Progressor

Job Purpose

As a Lettings Deal Progressor, you will be responsible for managing and progressing all agreed lettings transactions from the point an offer is accepted through to successful tenancy commencement.

You will act as the central point of contact between landlords, tenants, referencing providers, contractors and internal teams, ensuring every tenancy progresses efficiently, accurately and within agreed timescales.

The role requires excellent organisation, attention to detail and communication skills, together with the ability to manage multiple transactions simultaneously and proactively resolve issues before they delay a move-in.

Key Responsibilities

  • Take ownership of all agreed lettings transactions from offer accepted through to move-in.
  • Manage the full tenancy progression process, ensuring all required steps are completed promptly.
  • Liaise with landlords and tenants regularly, providing clear updates on the progress of their tenancy.
  • Coordinate tenant referencing, right-to-rent checks and required tenancy documentation.
  • Monitor referencing applications and proactively chase outstanding information.
  • Prepare and coordinate tenancy agreements and ensure they are correctly completed and signed.
  • Liaise with relevant parties to arrange tenancy start dates and move-in appointments.
  • Coordinate with property managers, lettings negotiators and other internal departments to ensure a smooth handover.
  • Arrange and monitor required property compliance documentation and certificates.
  • Identify and resolve issues that could prevent or delay a tenancy from proceeding.
  • Keep accurate and up-to-date records on the company's lettings/property management system.
  • Ensure all parties are kept informed of important deadlines and outstanding requirements.
  • Work closely with landlords to ensure any agreed works or requirements are completed before the tenancy starts.
  • Liaise with contractors and other suppliers where necessary to ensure properties are ready for occupation.
  • Maintain a high level of customer service throughout the tenancy progression process.

Key Skills & Experience

  • Previous experience within lettings, property, estate agency or a similar administrative role is desirable.
  • Excellent organisational and time-management skills.
  • Strong attention to detail and accuracy.
  • Confident telephone and written communication skills.
  • Ability to manage a high volume of transactions and competing deadlines.
  • Proactive approach to chasing and resolving outstanding matters.
  • Ability to build positive relationships with landlords, tenants and colleagues.
  • A professional, friendly and customer-focused approach.

Personal Qualities

The successful candidate will be:

  • Highly organised and methodical.
  • Proactive rather than reactive.
  • Confident and professional when communicating with clients and customers.
  • Detail-focused, particularly when dealing with tenancy documentation.
  • Reliable and able to work to strict deadlines.
