OA are recruiting for a Merchandise Administrator to join our client’s growing team.

This role is within the Fabric side of the business, working closely with the Fabric Merchandise Manager to support the day-to-day management of this category.

The objective of the role is to ensure that all aspects of the supply chain are effectively managed for production orders placed with suppliers, ensuring orders are delivered on time, stock levels are maintained and customer expectations are consistently met. The role will involve close communication with international suppliers, mills and freight forwarders, alongside accurate system and report management.

Location: Welham Green
Hours: Monday-Thursday 8:30am-5pm. Friday 8:30am-4:30pm. Office based.
Salary: £28,000

Merchandise Administrator Key Responsibilities

  • Managing and processing purchase orders accurately and in a timely manner, ensuring orders are placed with the relevant mills.
  • Following up sales confirmations with suppliers and proactively challenging any lengthy delays or discrepancies.
  • Maintaining accurate system arrival dates to ensure customers are quoted realistic and achievable delivery dates.
  • Managing the Ready Goods list alongside the Fabric Merchandise Manager to support effective stock levels and product availability.
  • Liaising with mills, suppliers and freight forwarders around the world to ensure the timely arrival of purchase orders.
  • Using in-house reports and systems to monitor order status, identifying potential delays and taking action to achieve required intake dates.
  • Running weekly reports accurately and on time, providing key information to support decision making across the team.
  • Monitoring outstanding orders and proactively escalating any issues that may impact stock availability or customer delivery dates.
  • Timely management and processing of invoices for authorisation.
  • Maintaining accurate records and ensuring all merchandising and supply chain information is kept up to date.
  • Working closely with the Fabric Merchandise Manager and wider team to resolve supply chain issues and ensure orders progress efficiently.

Merchandise Administrator Executive Skills & Experience

  • Previous experience within merchandising administration, purchasing, supply chain, logistics, order management or a similar environment.
  • Experience of purchase order management and following orders through from placement to delivery.
  • Understanding of shipping, freight forwarding and international logistics (desirable)
  • Excellent communication skills, with the confidence to liaise with suppliers and challenge delays where necessary.
  • Strong organisational skills with excellent attention to detail.
  • Strong Excel skills and confidence working with data and reports.
  • Strong numerical and analytical skills.
  • Ability to manage multiple tasks and deadlines effectively.
  • Ability to work under pressure and adapt to changing priorities.
  • Proactive approach with strong problem-solving skills.
  • A positive attitude and ability to work effectively as part of a team.
