Here at C T Fire Protection, we’re hiring an Office Administrator & Scheduling Assistant to join our team in South Kilworth, near Lutterworth.
You will work closely with our scheduling team, engineers and business managers, providing essential administrative and scheduling support to ensure our service, maintenance and installation teams are coordinated efficiently. This is a busy and varied role, ideal for someone who is organised, proactive and enjoys working in a fast-paced environment. This is a full-time role, but we would consider part-time hours for the right person.

Here’s a look at some of the things you’ll be doing:
- Assist the Service Team Lead with scheduling and coordinating engineers and installation teams, organising service, maintenance and installation appointments, while managing daily diaries and updating schedules for field engineers
- Act as the first point of contact for incoming office calls and emails, maintaining a professional and friendly approach while providing a high level of customer service to customers and contractors
- Prepare documentation using Microsoft Office, update digital company systems and maintain accurate records for compliance purposes, including tracking quotes through online digital platforms and processing job sheets, timesheets and service reports
- Assist with invoicing and day-to-day administrative tasks for the management team, while acting as an operational systems “champion” to support compliance with internal QA systems and procedures and developing and maintaining the company’s social media presence in line with Complii Group guidelines
Can you show experience in some of these areas:
- Are you highly organised with excellent attention to detail, able to manage multiple tasks, changing priorities and busy schedules while remaining calm and organised?
- Are you confident communicating with customers and contractors, with a professional, friendly and approachable manner and a strong commitment to customer service?
- Are you computer literate and confident using Microsoft Office and digital systems, with the ability to maintain accurate records and learn new systems quickly?
- Are you reliable, able to work independently and a good problem solver with a practical, proactive and can-do attitude?
Do you have previous experience in scheduling, administration, construction, engineering, facilities management or the fire protection industry? This would be advantageous but is not essential for the right candidate.
