Location: Edinburgh, EH6 5AA
Salary: £27,000–£30,000 FTE, dependent on experience
Hours: 22.5 hours per week, part-time
Working Pattern: To include Monday and Friday, with flexibility around the remaining hours
Start Date: Negotiable, ideally as soon as possible

About the Company

Gondolin Land and Water Ltd is an established environmental and civil engineering consultancy based in Edinburgh, working across a diverse range of sectors including residential, onshore renewable energy, commercial, rural tourism and recreation, mining and minerals, and retail, industrial and manufacturing.

Since being established in 2021, the business has gone from strength to strength and, as the team continues to grow, we are now looking for an enthusiastic, organised and proactive Office Administrator / Finance Assistant to join the team.

This is a varied role that would suit someone who enjoys being at the heart of a business, thrives on organisation and is confident balancing day-to-day office management with finance administration.

The Role

You will play an important role in supporting the smooth running of the office while providing key finance and administrative support to the wider team and Operations Director.

The role offers plenty of variety, with responsibilities ranging from managing office supplies, suppliers and general administration through to processing invoices and payments, completing bank reconciliations, supporting payroll and assisting with VAT returns.

You will need to be highly organised, commercially aware and comfortable working independently, while also being approachable and collaborative as part of a growing team.

Key Responsibilities

•  Manage day-to-day office administration, including maintenance, repairs, supplies, orders and deliveries.
•  Handle incoming calls, emails and post while liaising with suppliers, contractors and service providers.
•  Prepare and process invoices and payments, complete daily bank reconciliations and support VAT return preparation.
•  Assist with payroll, HR administration, onboarding, training records and general company documentation.
•  Provide wider administrative and financial support to the Operations Director and team, including document preparation, proofreading, supplier questionnaires and Health & Safety checks.

About You

We're looking for someone who is organised, proactive and enjoys working across a varied range of responsibilities.

What you will bring:

•  Previous experience in office administration and/or finance assistance.
•  Strong organisational skills and excellent attention to detail.
•  The ability to manage multiple priorities, work independently and use your own initiative.
•  A friendly, professional and approachable manner, with excellent communication skills.
•  Strong IT skills, including Microsoft Word, Excel, PowerPoint, Outlook and Teams.
•  A good understanding of GDPR and data protection.
•  The ability to work accurately and confidentially with financial and employee information.
•  Fluent English communication skills and the right to work in the UK.

Desirable:

•  Experience using accounting software, particularly QuickBooks.
•  Previous experience within an engineering, environmental or consultancy environment.
