Hours: 9:00am – 5:00pm
Reports To: Registered Manager / Home Manager
About the Role
We are seeking a highly organised and professional Part-Time Administrator to support the day-to-day administration of an EBD Children’s Home based in Wembley. The successful candidate will play an important role in ensuring the smooth running of the home by maintaining accurate records, supporting compliance processes, and assisting the management team with administrative duties.
This is an office-based role requiring attendance 3 days per week, with flexibility for the successful candidate to choose their working days (subject to operational requirements).
Key Responsibilities
- Provide general administrative support to the Home Manager and leadership team.
- Maintain accurate electronic and paper records relating to children, staff, and operational compliance.
- Ensure confidential records are organised, updated, and securely stored in accordance with GDPR and safeguarding requirements.
- Manage incoming telephone calls, emails, correspondence, and enquiries professionally.
- Support staff recruitment administration, including maintaining personnel files, references, DBS documentation, and training records.
- Monitor staff training records and assist with scheduling mandatory training updates.
- Prepare documents, reports, meeting minutes, and correspondence as required.
- Support compliance with regulatory standards and assist with inspections and audits.
- Maintain filing systems, databases, and office supplies.
- Coordinate appointments, meetings, rotas, and diary management where necessary.
- Assist with invoicing, petty cash records, and basic financial administration (if required).
- Ensure office systems and documentation remain organised and efficient.
Person Specification
Essential Skills & Experience
- Previous administrative experience in a professional office environment.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- Good IT skills, including proficiency in Microsoft Office (Word, Excel, Outlook).
- Ability to maintain confidentiality and handle sensitive information professionally.
- Strong attention to detail and accuracy.
- Ability to work independently and prioritise workload.
Desirable
- Experience working in a children’s residential setting, social care, healthcare, or education environment.
- Knowledge of safeguarding, Ofsted requirements, or children’s residential care compliance.
- Experience maintaining compliance or personnel records.

Working Pattern
