Job Summary

We are seeking an organised, reliable, and proactive Office Administrator to support the smooth day-to-day running of our office. The successful candidate will provide administrative support to the team, maintain accurate records, coordinate office activities, and ensure that employees, customers, and visitors receive a professional and efficient service.

The ideal candidate will have strong organisational and communication skills, excellent attention to detail, and the ability to manage multiple tasks and priorities effectively.

Key Responsibilities

  • Provide general administrative and clerical support to management and staff.
  • Answer and direct telephone calls, emails, and general enquiries.
  • Welcome visitors and provide professional front-of-house support where required.
  • Manage diaries, appointments, meetings, and meeting room bookings.
  • Prepare letters, reports, spreadsheets, presentations, and other business documents.
  • Maintain accurate electronic and paper filing systems.
  • Process incoming and outgoing post, correspondence, and deliveries.
  • Order and maintain office supplies, stationery, and equipment.
  • Liaise with suppliers, contractors, customers, and other external contacts.
  • Assist with invoices, purchase orders, expenses, and basic financial administration.
  • Maintain employee, customer, supplier, and company records as appropriate.
  • Support onboarding and other basic HR administration when required.
  • Coordinate travel arrangements, meetings, and company events where necessary.
  • Monitor office facilities and report maintenance or equipment issues.
  • Ensure confidential and sensitive information is handled appropriately.
  • Support management and colleagues with ad-hoc administrative tasks and projects.
  • Help maintain an organised, professional, and efficient working environment.

Essential:

  • Strong organisational and time-management skills.
  • Excellent written and verbal communication skills.
  • Good attention to detail and accuracy.
  • Confident using Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
  • Ability to prioritise workload and manage multiple tasks.
  • Professional and courteous telephone and email manner.
  • Ability to work independently as well as part of a team.
  • Discretion when handling confidential information.
