Job Summary
We are seeking an organised, reliable, and proactive Office Administrator to support the smooth day-to-day running of our office. The successful candidate will provide administrative support to the team, maintain accurate records, coordinate office activities, and ensure that employees, customers, and visitors receive a professional and efficient service.
The ideal candidate will have strong organisational and communication skills, excellent attention to detail, and the ability to manage multiple tasks and priorities effectively.
Key Responsibilities
- Provide general administrative and clerical support to management and staff.
- Answer and direct telephone calls, emails, and general enquiries.
- Welcome visitors and provide professional front-of-house support where required.
- Manage diaries, appointments, meetings, and meeting room bookings.
- Prepare letters, reports, spreadsheets, presentations, and other business documents.
- Maintain accurate electronic and paper filing systems.
- Process incoming and outgoing post, correspondence, and deliveries.
- Order and maintain office supplies, stationery, and equipment.
- Liaise with suppliers, contractors, customers, and other external contacts.
- Assist with invoices, purchase orders, expenses, and basic financial administration.
- Maintain employee, customer, supplier, and company records as appropriate.
- Support onboarding and other basic HR administration when required.
- Coordinate travel arrangements, meetings, and company events where necessary.
- Monitor office facilities and report maintenance or equipment issues.
- Ensure confidential and sensitive information is handled appropriately.
- Support management and colleagues with ad-hoc administrative tasks and projects.
- Help maintain an organised, professional, and efficient working environment.
Essential:
- Strong organisational and time-management skills.
- Excellent written and verbal communication skills.
- Good attention to detail and accuracy.
- Confident using Microsoft Office, including Word, Excel, Outlook, and PowerPoint.
- Ability to prioritise workload and manage multiple tasks.
- Professional and courteous telephone and email manner.
- Ability to work independently as well as part of a team.
- Discretion when handling confidential information.
