About the Role

We are looking for an organised and professional Office Co-Ordinator to support our client with the smooth day-to-day running of a busy office and operational environment.

You will work closely with departments across the business, acting as a key point of contact for customers, suppliers, contractors, visitors and internal teams. This role will involve administration, scheduling, reporting, customer communication and supporting operational processes.

Responsibilities

  • Welcome visitors, clients, customers and contractors in a professional and friendly manner.
  • Respond to general emails, post and customer/supplier correspondence.
  • Keep files, records and archives accurate, accessible and auditable.
  • Coordinate and prepare daily maintenance work schedules.
  • Create and issue worksheets ahead of the next working day.
  • Prioritise work based on urgency, business needs and customer requirements.
  • Support ordering systems, stock inventory and replenishment.
  • Assist with training records, accident and incident reporting and return-to-work documentation.
  • Support maintenance records, completion sheets and contractual filing.
  • Produce and maintain reports and operational data.
  • Work with the General Manager and wider teams to support business reporting requirements.
  • Help improve office processes and ensure office-based functions are completed accurately and on time.

Skills and Experience

  • Previous experience in an office coordination, administration or customer service role.
  • Strong organisational and time management skills.
  • Ability to prioritise a busy workload.
  • Excellent communication skills.
  • Good attention to detail.
  • Confident using Microsoft Office, including Excel, Word and Outlook.
  • Able to handle confidential information appropriately.
  • Customer-focused with a professional and approachable manner.
  • Experience with scheduling, job management or maintenance management systems would be desirable.

Qualifications

  • GCSE English and Maths, or equivalent, required.
