My client is a growing construction company looking for an organised, proactive and hands-on Office Manager to play a key role in keeping the day-to-day business running efficiently.

This is a varied role suited to someone who thrives in a busy construction environment and is comfortable managing multiple priorities. The successful candidate will provide administrative and operational support to the directors, project managers and site teams, while ensuring that office processes, documentation, suppliers, subcontractors and compliance requirements are kept organised and up to date.

The ideal candidate will have experience within construction, property, engineering or a similar industry, with excellent attention to detail and the confidence to deal with clients, subcontractors, suppliers and internal teams.

Key Responsibilities

Office & Business Administration

  • Manage the day-to-day running of the office, ensuring it operates efficiently and professionally.

  • Provide administrative support to directors, project managers and site teams.

  • Manage incoming calls, emails, correspondence and general enquiries.

  • Maintain organised digital and physical filing systems.

  • Prepare reports, letters, documents, meeting notes and presentations as required.

  • Coordinate meetings, appointments and internal communications.

  • Manage office supplies, equipment, facilities and general purchasing.

Construction & Project Administration

  • Provide administrative support across multiple construction projects.

  • Maintain project files, contracts, drawings, specifications, schedules and other key documentation.

  • Assist with the preparation and submission of project paperwork.

  • Track project documentation, approvals, certificates and deadlines.

  • Assist project managers with purchase orders, subcontractor documentation and general project administration.

  • Coordinate information between the office, project managers, site teams, clients and subcontractors.

  • Maintain accurate records of variations, invoices, deliveries and project correspondence.

Subcontractors & Suppliers

  • Set up and maintain subcontractor and supplier records.

  • Request and monitor required documentation, including insurance certificates, RAMS, accreditations and compliance information.

  • Assist with subcontractor onboarding and pre-qualification processes.

  • Raise and track purchase orders.

  • Liaise with suppliers regarding quotations, orders, deliveries and invoices.

  • Maintain an accurate database of approved subcontractors and suppliers.
