Hays are currently recruiting an Office Manager. This role is an office based in Manchester City Centre temporary ongoing.
We are seeking a proactive and highly organised Office Manager to join our growing business on an initial 6-month temporary contract, with the potential to become permanent. This is a varied and hands-on role responsible for ensuring the smooth day-to-day running of a busy city centre office while providing support to HR, Executive Assistants, and wider business stakeholders.This position would suit someone who enjoys taking ownership, thrives in a fast-paced environment, and takes pride in creating a positive, well-organised workplace experience for employees and visitors alike.
Your new role
Key Responsibilities
Office & Facilities Management
- Oversee the day-to-day management and smooth operation of the office.
- Manage office supplies, stationery, kitchen stock, refreshments, and consumables.
- Ensure meeting rooms, communal areas, and facilities are maintained to a high standard.
- Coordinate office maintenance, repairs, and equipment servicing.
- Manage relationships with external suppliers, contractors, and building management.
Employee Experience & Events
- Organise internal events, team celebrations, staff engagement activities, and company parties.
- Coordinate catering, refreshments, and hospitality requirements.
- Help create a welcoming and positive office environment.
Travel & Logistics
- Arrange domestic and international travel, including flights, rail, accommodation, and transport.
- Manage hotel bookings and travel itineraries for employees and senior stakeholders.
- Oversee the company car park system and visitor parking arrangements.
HR & Business Support
- Support the HR team with general administration and on-boarding activities.
- Liaise with stakeholders to coordinate new starter processes, including workspace setup, equipment requests, and inductions.
- Assist with maintaining employee records and supporting HR initiatives where required.
Executive Assistant Team Support
- Work closely with a team of Executive Assistants to ensure efficient coordination across the business.
- Provide additional administrative support during busy periods.
- Assist with meeting coordination, room bookings, and business-wide communications.
Stakeholder Management
- Build strong relationships with employees, senior leaders, suppliers, and external partners.
- Act as a key point of contact for office-related enquiries.
- Ensure requests are handled professionally and efficiently.
- You will have previous experience in an Office Manager, Workplace Manager, or similar position.
- Strong organisational and multitasking abilities.
- Experience coordinating travel, events, and office operations.
- Excellent communication and stakeholder management skills.
- Ability to work independently and take ownership of responsibilities.
- Proactive approach with the confidence to identify improvements and solve problems.
- Strong Microsoft Office skills.
- Experience supporting HR functions and on-boarding activities would be advantageous.
- Comfortable working in a fully office-based environment.
