Our client is looking for a proactive Site Support Officer / Administrator to provide day-to-day administrative and organisational support within a busy operational site. This is a varied position where you'll be trusted to manage your own workload, suggest improvements and become a key point of contact across the site.
The position is initially offered on an 18-month fixed-term contract, with the potential to extend depending on how the role develops.
The Role of Office Manager
You'll provide administrative support to the site management and wider operational team, while taking ownership of a range of office, supplier and site activities.
Key responsibilities will include:
- Organising management meetings, taking accurate minutes and following up outstanding actions
- Supporting senior managers with general administration, correspondence and diary requirements
- Reviewing existing office processes and suggesting ways to improve efficiency
- Managing site contracts and suppliers, including cleaning, vending and office services
- Coordinating a small fleet of site vehicles, including MOTs, servicing, insurance and vehicle records
- Acting as a key point of contact for visitors, contractors and external organisations
- Coordinating site inductions for contractors and visiting personnel
- Managing office supplies, refreshments and meeting requirements
- Supporting travel and accommodation arrangements
- Assisting with invoice approvals, company credit card reconciliation and general finance administration
- Managing a small administrative budget
- Maintaining accurate files, records, reports and site information
- Working independently to resolve day-to-day issues and ensure actions are completed
- Previous experience within office administration, office management, site administration, PA or a similar role
- Confident and proactive approach with the ability to work independently
- Strong organisation and time-management skills
- Comfortable communicating with and following up actions with senior managers
- Previous experience arranging meetings and taking minutes
- Good working knowledge of Microsoft Word and Excel
- Strong written and verbal communication skills
- Ability to manage multiple tasks and changing priorities
- Experience managing suppliers, contracts or budgets would be advantageous
- SharePoint experience would be beneficial
- SAP experience would be advantageous but is not essential, as training will be provided during the company's transition to the system
Monday to Thursday: Approximately 8:30am - 4:30pm
Friday: Approximately 8:30am - 3:30pm
37 hours per week
