Position: Operations Coordinator

Location: Bolton (Head Office)

Hours: Full-Time, 40 Hours per Week

Reports To: Operations Manager

 

Role Overview

We are seeking a highly organised and proactive Operations Coordinator to support the efficient delivery of our construction, facilities management, maintenance, and project activities. Acting as a central point of coordination, you will work closely with clients, project teams, engineers, subcontractors, suppliers, and internal departments to ensure works are planned, scheduled, and delivered safely, on time, within budget, and to the highest quality standards.

This is a fast-paced role requiring excellent organisational, communication, and problem-solving skills, with a strong focus on customer service, operational efficiency, compliance, and continuous improvement.

Key Responsibilities

  • Coordinate day-to-day operational activities across multiple projects and contracts.
  • Schedule engineers, subcontractors, suppliers, and resources efficiently.
  • Monitor work progress and ensure operational deadlines and service levels are achieved.
  • Support Project Managers with project administration, mobilisation, procurement, and project close-out activities.
  • Raise purchase orders, source materials, and assist with cost tracking.
  • Maintain project documentation, compliance records, and operational systems.
  • Coordinate and review RAMS, contractor accreditations, insurance documentation, and competency records.
  • Support compliance with health & safety legislation, company procedures, and ISO management systems.
  • Act as a key point of contact for clients, suppliers, and subcontractors.
  • Produce operational reports, KPIs, schedules, and management information.
  • Assist with performance monitoring, customer service delivery, and continuous improvement initiatives.

 

Requirements

Essential:

  • Previous experience in an Operations Coordinator, Project Coordinator, Scheduler, or Administrative role.
  • Strong organisational and planning skills with the ability to manage multiple priorities.
  • Excellent communication and customer service skills.
  • Proficient in Microsoft Office, particularly Excel, Word, and Outlook.
  • Experience using job management, CRM, ERP, CAFM, or similar systems.
  • High attention to detail and strong administrative capabilities.

 

Desirable:

  • Experience within construction, facilities management, engineering, building services, or property maintenance sectors.
  • Knowledge of planned and reactive maintenance operations.
  • Understanding of subcontractor management, procurement, and supplier coordination.
  • IOSH Working Safely, Prince2 Foundation, or similar qualifications.
  • Familiarity with ISO 9001, ISO 14001, and ISO 45001 management systems.
