The Opportunity
We are recruiting for an experienced Payroll & Data Administrator to join an established organisation based in Carlisle on a permanent, full-time basis.
This is an excellent opportunity for someone with experience in payroll preparation and basic HR administration who enjoys working with data, maintaining accurate employee records and supporting the wider employee lifecycle.
You will join an experienced and supportive HR team of five, working closely with colleagues to ensure payroll information is prepared accurately and on time while also providing day-to-day data and administrative support.
The position would suit someone who is highly organised, comfortable handling confidential and sensitive information, and confident working with employee data where accuracy and attention to detail are essential.
The Role
As Payroll & Data Administrator, you will play an important role in ensuring employee and payroll information is accurate, complete and ready for submission within agreed deadlines.
While you will not necessarily be responsible for processing payroll from start to finish, you will need previous experience of preparing payroll information for submission, checking data and ensuring relevant changes are accurately captured.
Alongside payroll responsibilities, you will support the HR team with a range of administrative activities, particularly around new starters, leavers and employee records.
Key Responsibilities
Your responsibilities will include:

Preparing monthly payroll information for submission, ensuring all data is accurate, complete and provided within agreed deadlines.

Collating and checking payroll changes including new starters, leavers, salary amendments, deductions, absence information and other relevant employee changes.

Reviewing payroll data and investigating discrepancies before information is submitted for processing.

Maintaining accurate employee records across HR and payroll systems.

Processing new starter information and ensuring all required documentation and employee data is captured correctly.

Supporting the onboarding process, including preparing documentation, updating systems and coordinating relevant internal administration.

Processing employee leavers and supporting the offboarding process, ensuring records and documentation are updated appropriately.

Producing employment documentation and correspondence relating to changes throughout the employee lifecycle.

Maintaining accurate holiday, absence and employee information.

Supporting the HR team with general administration and responding to routine employee queries.

Updating spreadsheets, reports and data as required.

Carrying out regular checks to maintain the quality and integrity of employee information.

Handling personal and confidential information appropriately and in accordance with relevant data protection requirements.

Supporting continuous improvements to HR and payroll administrative processes.

Working collaboratively with colleagues across the HR function and wider business.
About You
We are looking for someone who already has practical experience working with payroll information and basic HR administration.
You do not necessarily need to have held the exact title of Payroll & Data Administrator previously, but you should understand the importance and have experience with the preparation of payroll deadlines, data accuracy and confidentiality.
You will ideally have:

Previous experience preparing payroll information for submission.

Experience working with payroll data and employee changes.

Basic HR experience and an understanding of general HR administration.

Previous HR administration experience.

Experience supporting employee onboarding and offboarding.

A good understanding of the employee lifecycle and associated HR administration.

Strong numerical skills and excellent attention to detail.

Confidence working with spreadsheets, systems and large amounts of employee data.

Good Microsoft Office skills, particularly Excel.

Strong organisational skills with the ability to manage competing deadlines.

Excellent written and verbal communication skills.

The ability to handle confidential and sensitive information professionally.

A proactive approach to identifying discrepancies and resolving administrative issues.

The ability to work effectively both independently and as part of a wider HR team.
Previous experience using PeopleXD or payroll systems would be beneficial, although specific system experience is not essential.
