Job Title: People Systems Administrator

Location: Remote working from home – occasional onsite days for meetings at Littlemore Mental Health Centre, Sandford Road, OX4 4XN

Hours: 37.5 hours per week – Monday – Friday 9.00am – 5.00pm

Trust: Oxford Health NHS Foundation Trust       

Role type: Temporary for 3 months with possibility of becoming permanent

Role details

The post holder will provide support for the Trust’s People Systems including the Workforce

Management system, ESR, ESR Self Service and E-expenses acting as an in-house service desk,

resolving user queries and escalating issues internally and to the software supplier as required. 

In addition to this, the individual will be required to support the development of the system

and its use making recommendations for systems improvements and recommending solutions

to ensure the optimal use of People systems across the Trust.  The post holder will also be

responsible for running the payroll process and managing day to day payroll queries.  The post

holder will be responsible for ensuring the accuracy of centrally held data in the systems.

Duties & responsibilities

  • Create and maintain user accounts and system passwords for ESR self-service, E-Expenses,

the absence management system and the eRostering (WFMS) system ensuring permissions

are in line with Trust policies and internal / external audit requirements, providing support

to end users as required.

  • Maintain and manage general system housekeeping of the People Systems.
  • Apply and monitor eRostering (WFMS) system settings (i.e. shifts, rules, patterns and roster

templates) to ensure that staff are rostered and paid effectively and according to their

contracts and Trust policies and procedures.

  • Manage the E-Expenses system ensuring settings are correct and staff personal details and

vehicles are accurate.

  • Provide service desk support to all users of People Systems 
  • Work with the People System Manager and eRostering (WFMS) Project Manager and
  • Consultant to ensure the People Systems Service desk meets the needs of the organisation. 
  • Work with the People Systems Manager to develop a service desk SLA.
  • Respond to all queries in a timely fashion in line with the SLA.
  • Translate highly complex technical information into a language which can be easily

understood by staff using the eRostering (WFMS).

  • Escalate issues as required to the supplier, IT and People Service teams providing detailed

storyboards if required.

  • Liaise with the supplier and Trust’s IT department to minimise system downtime.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

  1. An in depth understanding of the roles and responsibilities involved in working within the NHS  
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times  
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation 

You’ll have the following skills/experience:

  • Intermediate level of IT skills and IT literate and proficient in the use of Microsoft (MS Teams, MS Office, Excel, MS Outlook.)
  • Strong data entry skills
  • Excellent IT skills including database management
  • Good general system administration skills
  • Excellent customer service skills
