We are seeking a proactive, enthusiastic and experienced Personal Assistant to provide comprehensive secretarial and administrative support to two Managing Directors: The Group Chief Information Officer, and the Group Head of Sustainability while the existing Personal Assistant is on maternity cover.
What you’ll do:
- Proactive diary management, organising internal and external meetings (including booking meeting rooms), conference calls, dinners and events.
- Monitoring and prioritising inbox activity, flagging key and time-sensitive emails.
- Forwarding relevant emails onto the team members when necessary; actioning where appropriate.
- Dealing with all communication - phone, email and other channels in a professional manner, taking accurate messages and responding promptly and appropriately.
- Managing email communication by flagging urgent requests by tracking actions and following up as necessary.

- Building strong relationships and liaising effectively with internal teams, senior management, PAs, stakeholders and external partners
- Action tracking to ensure actions are met, both in the diary and in a tracker tool.
- Maintaining the IT Group meeting planner; keeping this up to date with proposed meetings and topics.
- Reconciling expenses and claims promptly and accurately.
- Preparing, formatting and amending documents to a high professional standard.
- Liasing with the Recruitment team to organise interviews for roles within IT and Group Sustainability.
- Onboarding new joiners and processing leavers, ensuring all systems, access permissions and documentation are updated correctly.
- Support events where required with administrative tasks
What you’ll need:
- Previous senior-level PA or administrative experience supporting senior individuals.
- Banking/Financial Services experience is a must.
- Advanced IT proficiency, including Outlook, Word, Excel, PowerPoint and Teams.
- Strong organisational skills with the ability to prioritise, multi‑task and manage competing deadlines while maintaining exceptional attention to detail in a fast-paced environment.
- Excellent interpersonal and communication skills, with the ability to engage effectively and professionally at all levels internally and externally.
- Ability to anticipate and resolve issues in advance, including managing conflicting meetings, diary pressures and changing priorities.
- High level of confidentiality, discretion and professional integrity when handling sensitive information, documents and matters.
- Proactive, solutions‑focused approach with strong judgement and the ability to work autonomously and independently with limited direction.
- Self‑motivated, efficient, reliable and resilient, with a positive, “can‑do” attitude.
- Flexible and adaptable, with enthusiasm and the ability to approach all tasks with energy and commitment.
- Ability to build a strong understanding of the organisation and its key stakeholders.
- Experience working in a multicultural, international organisation.
