Position: Personal Assistant to the Managing Directors
Location: Bolton (Head Office)
Hours: Full-Time, 40 Hours per Week
Reports To: People & Communications Manager / Managing Directors
Role Overview
We are seeking a highly organised, professional, and proactive Personal Assistant to provide confidential administrative and executive support to the Managing Directors. This role is pivotal in ensuring the efficient management of diaries, meetings, communications, travel arrangements, and business documentation, allowing senior leadership to focus on strategic priorities and business growth.
In addition to executive support, the successful candidate will assist with office management activities and provide wider administrative support across the business, helping to maintain a professional, efficient, and well-organised Head Office environment.
Key Responsibilities
- Manage complex diaries, appointments, and meeting schedules for the Managing Directors.
- Coordinate internal and external meetings, including agendas, presentations, and supporting documentation.
- Arrange travel, accommodation, and itineraries.
- Draft and manage correspondence, reports, presentations, and business documents.
- Take meeting minutes and track actions where required.
- Act as a professional first point of contact for clients, suppliers, and stakeholders.
- Support company events, meetings, hospitality, and internal communications.
- Assist with office management, including supplies, facilities coordination, filing systems, and visitor management.
- Maintain confidential records and documentation in line with GDPR requirements.
- Support board reporting, document approvals, audits, accreditations, and business administration activities.
- Identify opportunities to improve administrative processes and office efficiency.
Requirements
Essential:
- Previous experience as a Personal Assistant, Executive Assistant, or Senior Administrator.
- Experience supporting Directors or senior leadership teams.
- Excellent diary management, organisational, and multitasking skills.
- Advanced Microsoft Office skills, including Outlook, Word, Excel, and PowerPoint.
- Excellent written and verbal communication skills.
- Ability to handle confidential and commercially sensitive information with discretion.
- Strong attention to detail and ability to work independently.
Desirable:
- Level 3 Business Administration qualification or equivalent.
- Experience within construction, facilities management, engineering, or property services.
- Experience organising company events and stakeholder meetings.
- Experience supporting senior leaders within an SME environment.
