Our client, a leading provider of integrated facilities management and infrastructure solutions is hiring for a highly organised and proactive Planner to join a busy Facilities Management team supporting a major rail contract. This is a fantastic opportunity for someone with planning, scheduling, or coordination experience who thrives in a fast-paced operational environment and enjoys keeping critical maintenance activities running smoothly.
As the central point of coordination for planned maintenance and compliance activities, you'll play a key role in ensuring works are scheduled, tracked, and completed efficiently while maintaining the highest standards of regulatory and contractual compliance.
The Role
Working closely with operational teams, engineers, subcontractors, and management, you will be responsible for planning and coordinating Planned Preventative Maintenance (PPM) activities across a large and diverse estate. You'll ensure maintenance programmes are delivered on time, records are accurately maintained, and compliance requirements are consistently met.
This position would suit candidates with previous experience in Facilities Management, Engineering, Maintenance, Utilities, Rail, Transport, or other service-driven environments.
Key Responsibilities
- Plan and manage Planned Preventative Maintenance (PPM) schedules.
- Ensure maintenance activities are programmed and completed in line with contractual, regulatory, and statutory requirements.
- Coordinate engineers, subcontractors, and operational teams to ensure the effective delivery of planned works.
- Monitor the completion of maintenance activities and remedial actions.
- Raise, allocate, and track remedial works identified through inspections and maintenance visits.
- Maintain accurate records, certification, and supporting documentation.
- Produce planning reports, compliance trackers, and performance data.
- Ensure all activities are accurately recorded within CAFM and maintenance management systems.
- Identify scheduling conflicts, overdue tasks, and potential compliance risks, escalating where appropriate.
- Support KPI achievement through effective planning and coordination.
- Contribute to continuous improvement initiatives across planning processes and service delivery.
About You
To be successful in this role, you'll have:
- Previous experience in a Planner, Scheduler, Coordinator, or Administration role.
- Experience managing PPM schedules, maintenance programmes, or service delivery plans.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Excellent administration and document control skills with a keen eye for detail.
- Advanced Microsoft Office skills, particularly Excel, Outlook, and Word.
- Experience using CAFM systems or other maintenance management software.
- Strong analytical skills and the ability to produce accurate reports and performance data.
- Excellent communication and stakeholder management skills.
- Experience working within Facilities Management, Engineering, Maintenance, Rail, Utilities, or similar compliance-focused environments.
- Good understanding of maintenance planning processes and statutory compliance requirements.
- A proactive, methodical, and solutions-focused approach.
