Are you an experienced PPM Coordinator, Maintenance Administrator or Facilities Coordinator looking for a new opportunity?

We are working with a growing Facilities Management provider who is looking for a PPM Coordinator to join their Bristol-based team.

You'll be responsible for planning, coordinating and monitoring planned preventative maintenance across a range of commercial contracts, working closely with engineers, subcontractors, clients and suppliers to ensure works are completed on time and to the required standards.

The Role
  • Plan and schedule daily, weekly, monthly and annual PPM activities
  • Coordinate engineers, subcontractors and specialist contractors
  • Manage and maintain PPM schedules, ensuring works are allocated and completed on time
  • Monitor outstanding and overdue works and follow up where required
  • Review engineer reports, job sheets and service records
  • Update maintenance records using simPRO and CAFM systems
  • Coordinate site access for engineers and contractors
  • Monitor statutory and compliance-related maintenance
  • Coordinate specialist contractors across HVAC, electrical, fire systems, lifts, water hygiene and other building services
  • Liaise with clients, Facilities Managers, engineers, suppliers and subcontractors
  • Produce monthly PPM and compliance reports
  • Support audits and maintain accurate certification and maintenance records
  • Assist with the mobilisation of new contracts, asset registers and PPM schedules
  • Prepare quotes for planned maintenance and PPM works
What We're Looking For
  • Previous experience in Facilities Management, PPM coordination, maintenance administration or CAFM
  • Good understanding of PPM and building services
  • Experience coordinating engineers, contractors or subcontractors
  • Experience using CAFM systems
  • Strong organisational and scheduling skills
  • Good attention to detail and record-keeping
  • Good knowledge of Microsoft Excel, Word and Outlook
  • Ability to manage multiple sites, engineers and deadlines
  • Strong communication and customer service skills
  • Ability to identify and escalate overdue or non-compliant works
