Job description - the role

On Behalf of Arup, we are looking for a Project Administrator for a 3 months contract based in London. Please note that this role is going to be hybrid.
Purpose of the role:
As a Project Administrator, you will be responsible for providing day-to-day administrative support to a large project team and liaising with the client team and stakeholders as needed.
As a Project Administrator, you will be responsible for
- Responsible for assisting with project processes as part of an integrated team.
- Arranging meetings for the team - coordinating meeting set-ups e.g. booking conference rooms, AV equipment, and ordering catering.
- Overview of senior leaders' diaries.
- Managing, owning and assisting with project processes
- Assisting with updating Project Sharepoint pages
- Manage Co-Located Office duties as necessary (Access, Room bookings etc.)
- Assisting in formatting written documents and preparation of presentations.
- Assisting with coordination of client and team events.
- Other ad hoc administrative support as required.
- Co-ordinating Security Checks of staff and sub-contractors.
Requirements:
- IT literate/familiar with IT Systems
- Experience of uploading/downloading from online collaborative websites
- Quick to learn Arup own systems
- Use of advanced Outlook, Word, PowerPoint, Visio, Sharepoint, Teams and Excel spreadsheets (containing macros)
- Good communication skills
- Good organizational skills
- Pro-active and uses initiative
- Conscientious/methodical but flexible
- Problem solver
