About the Role
The purpose of the position of Project Commercial Account Executive:
To support the project managers in Northern Ireland with the commercial and financial management of their projects, from tender review and handover through to final account. The Project Commercial Account Executive makes sure every project has an agreed budget and GM, accurate cost to complete forecasts, applications for payment submitted on time, variations agreed promptly and costs under control.
Success means projects delivering at least their approved GM, cash collected on time, a reliable monthly forecast, and the company's commercial position protected on every contract.
Budgets & Handover:
Review tender budgets and agree the project budget and GM before work starts.
Support project handover meetings, including a review of contract terms such as payment terms, retentions, liquidated damages and notice periods, flagging any risks to the project manager.
Set up each project's budget, cost codes and valuation sheets in the company systems.
Cost to Complete & Forecasting:
Prepare the monthly cost to complete (CTC) for every project with the project manager, covering costs to date, committed costs, forecast final cost, forecast final account and forecast GM.
Flag any margin fade early, with the cause and the recovery actions agreed with the project manager.
Analyse project forecasts for revenue and costs, and produce procurement plans.
Support forecasting of cost, profitability and cash, and attend monthly WIP and forecast meetings.
Support month end with Finance, including accruals and revenue recognition.
Applications for Payment & Cash:
Produce and submit monthly applications for payment in line with each contract's terms and dates.
Track payment notices and pay less notices, in line with the Construction Contracts (Northern Ireland) Order 1997 and contract terms.
Manage the payment cycle on time, working with credit control to chase overdue payments.
Track retentions on every project and ensure they are applied for and released on time.
Variations & Final Accounts:
Support the collation and tracking of variations (VOs) on every project, including early warnings, instructions, dayworks and supporting evidence.
Price and submit variations promptly and ensure they are agreed in a timely manner.
Prepare and agree final accounts, so projects are closed out commercially without delay.
Procurement, Subcontractors & Cost Control:
Ensure purchase orders are raised against budget, and that project costs are controlled and signed off.
Review project invoices against purchase orders and goods received.
Review subcontractor applications against progress and client payments, and issue subcontractor payment notices on time.
Track subcontractor retentions, and support Finance with CIS checks.
Risk & Reporting:
Identify and log commercial risks and opportunities on every project, and track actions to close.
Update and submit monthly commercial reports for each project.
Keep all jobs up to date in Eque2, Alarm Master, Field Motion and the valuation sheets.
Protect the company's commercial position on every contract, and look for cost recovery and growth opportunities.
Key Performance Indicators (targets TBC):
Margin: Every project delivers at least its approved GM, with no unexplained margin fade
Cost to complete: Monthly CTC completed for every project on time, with forecast accuracy to target
Applications: 100% of applications for payment and notices submitted on time
