Project Coordinator

We are seeking an office-based (non-traveling) professional to join our International Project Team. The successful candidate will work closely with internal stakeholders, clients, consultants, vendors, and project team members to support document control, project coordination, and administrative functions across a portfolio of international projects.
Responsibilities:
- Coordinate and manage the flow of project documentation between clients, external consultants, vendors, and internal departments.
- Process and distribute project information in a timely manner, including meeting minutes, technical documents, requests for information (RFIs), submittals, reports, and review comments, in accordance with project-specific procedures.
- Ensure established document control standards and approval processes are followed throughout the project lifecycle.
- Receive, track, and maintain project documentation using document management systems, including maintaining databases, logs, transmittals, and reporting records.
- Prepare and respond to routine correspondence related to project documentation and coordination activities.
- Attend virtual project meetings as required and prepare and distribute meeting minutes and action items.
- Support team members in locating, organising, and maintaining electronic records and project information.
- Maintain project document distribution systems and schedules in accordance with client, project, departmental, and supplier requirements, updating processes where necessary to ensure timely approvals and communication.
- Monitor project deadlines and milestones, communicating key dates to relevant stakeholders and maintaining internal tracking schedules.
- Provide general administrative and coordination support to the project team.
- No travel is expected or required for this position.
Requirements:
- Knowledge of document control processes and electronic document management systems is preferred (experience with platforms such as Aconex is advantageous).
- Associate degree or equivalent qualification required; two or more years of document control or project coordination experience preferred.
- Proficiency with Microsoft Office applications and the ability to prepare and format professional project documentation.
- Strong interpersonal skills with the ability to build positive working relationships across multidisciplinary teams and levels of management.
- Flexible and adaptable, with the ability to meet changing priorities and deadlines.
- Excellent written and verbal communication skills, combined with strong customer service and organisational abilities.
- Proven ability to manage multiple tasks, prioritise competing deadlines, and follow through on commitments.
- Ability to work collaboratively and effectively within a team environment.
