Are you an organised and proactive Project Coordinator with experience supporting complex projects and managing multiple stakeholders? We are recruiting for an exciting opportunity to join a business undergoing a major office relocation programme, playing a pivotal role in ensuring the project is delivered smoothly and on schedule.
This is a hands-on, fast-paced position where you'll act as the central point of coordination across suppliers, procurement, project stakeholders, and senior leadership teams. Ideal for someone who enjoys keeping projects moving, managing the finer details, and working in a delivery-focused environment.
The Role
As Project Coordinator, you'll provide essential administrative and operational support throughout the relocation project. You'll be responsible for ensuring actions are completed, suppliers remain on track, purchase orders are managed accurately, and project documentation is maintained to a high standard.
Key Responsibilities
Project & Stakeholder Coordination
- Coordinate project activities and ensure agreed actions are progressed and completed.
- Prepare meeting packs, briefing notes, and supporting documentation.
- Attend project meetings, take minutes, track actions, and follow up on outstanding tasks.
- Provide regular project updates, dashboards, and status reports.
- Escalate risks, delays, and issues appropriately while helping identify potential solutions.
Procurement & Purchase Order Administration
- Raise, issue, and track purchase orders for project-related goods and services.
- Maintain accurate records of spend commitments and budget tracking.
- Liaise with finance teams to ensure invoices are processed and payments are made on time.
- Support supplier quotation reviews and procurement activities.
Supplier & Contractor Management
- Act as the key day-to-day contact for external suppliers and contractors.
- Monitor progress against agreed milestones and delivery schedules.
- Chase outstanding actions and resolve routine issues to keep the project on track.
- Coordinate site access, schedules, and contractor attendance.
- Maintain supplier and contractor trackers, ensuring all information remains up to date.
Project Administration
- Maintain project plans, documentation, trackers, and shared files.
- Support planning for the physical office move, including logistics and scheduling.
- Assist with internal communications, updates, and project notices.
- Provide general administrative support across the wider project team.
About You
Essential Requirements
- Previous experience in a Project Coordinator, Project Administrator, or PMO Support role.
- Experience managing purchase orders and working within procurement or finance processes.
- Proven ability to coordinate and manage external suppliers and contractors.
- Strong organisational skills with the ability to manage multiple priorities simultaneously.
- Experience communicating with senior stakeholders and providing concise updates.
- Advanced Microsoft Office skills, particularly Excel.
- Excellent attention to detail and accuracy, especially around financial information.
- A proactive, solutions-focused approach with a willingness to get involved in all aspects of project delivery.
Desirable
- Previous experience supporting an office relocation, facilities, fit-out, or workplace project.
- Experience coordinating executive or senior leadership meetings.
- Awareness of health and safety requirements relating to contractor management.
