Branta is supporting a well-established building services specialist in appointing an organised, proactive Project Coordinator to join their Small Works & Project Installations division.
Acting as the operational backbone of the department, you will manage projects from initial handover through to final invoicing. You will coordinate in-house engineers and specialist subcontractors, liaise directly with commercial clients, procure materials, keep delivery programmes on schedule, and assist with project estimating and cost tracking.
Key Responsibilities
-
Project & Labour Scheduling: Plan and allocate directly employed engineers and specialist subcontractors across multiple concurrent small works and installation projects.
-
Client Communication: Serve as the primary operational contact for commercial clients, providing milestone updates, scheduling site visits, and managing expectations.
-
Procurement & Materials: Order project materials, plant hire, and site tooling to ensure deliveries align with scheduled installation dates.
-
Costing & Estimating Support: Assist Project Managers with scope take-offs, minor project estimating, supplier cost benchmarking, and quote preparation.
-
Financial Administration: Track work-in-progress (WIP), sign off vendor delivery notes, and ensure project invoicing and valuations are raised accurately and on time.
-
Compliance & Handover: Collate risk assessments and method statements (RAMS), maintain project folders, and assemble final operation and maintenance (O&M) handover documentation.
What We Are Looking For
-
Proven Track Record: Prior experience as a Project Coordinator, Service Coordinator, Works Scheduler, or Contracts Administrator within building services, M&E, construction, or technical FM.
-
Commercial Awareness: Practical exposure to material procurement, subcontractor management, and project billing processes; basic estimating or pricing experience is highly advantageous.
-
Organisational Acumen: Strong diary management, prioritisation skills, and comfort managing high-volume email traffic and conflicting site priorities.
-
IT Proficiency: Confident user of CRM systems and Microsoft Office (particularly Excel for tracking costs and programmes).
-
Communication: Clear, professional telephone and written communication skills with clients, field engineers, and suppliers.
