Full Time, Fixed Term Contract

Salary: £40,000 - £45,000

Our client, a leading provider of facilities services in the UK, are seeking a Project Coordinator to support both the BAU and dedicated Backlog team in delivering the final phase of the Backlog Project. The role will focus on supporting the completion of all quoted works and ensuring the correct documentation is provided to close all work orders across Backlog PPMs, Reactive works and Remedials.

Job Description

We are looking for a highly organised individual with strong Excel expertise, experience within technical hard services environments, and a sound knowledge of SFG20. The successful candidate will play a key role in coordinating activities, maintaining accurate records and supporting effective project delivery and reporting.

Key Responsibilities

  • Coordinate the submission of quotations through the system to DWP for approval, liaising with suppliers and FM teams.
  • Support the payment process for approved quotations.
  • Work with Finance and Commercial teams to track attended work orders and support their submission to DWP for payment.
  • Monitor backlog activities and highlight any potential impacts on BAU service delivery to relevant stakeholders.
  • Support the implementation of new PPM templates and ensure completed PPM documentation is uploaded accurately and on time.
  • Act as a point of contact for project-related queries and escalate issues to the appropriate project leads when required.
  • Assist in the production of weekly reports and progress updates for DWP, including quotation trackers and completion glidepaths.
  • Maintain project records, trackers and documentation, while facilitating communication between KADS, KAMS, FM teams and suppliers regarding progress, actions and blockers.

Professional and Personal Competencies/Qualifications

  • Experience with CAFM systems, particularly PPM delivery methodologies.
  • Experience managing projects, small works and remedial activities.
  • Good analytical skills with a strong focus on data accuracy and quality assurance.
  • Sound technical knowledge and experience of operational M&E delivery.
  • Ability to be self-driven while maintaining a collaborative approach within a high-performing team.
  • Proven strong Microsoft Office skills, particularly Excel.
  • Experience of Monday is desirable.
  • Sound knowledge of SFG20.
  • Experience working within technical hard services environments.
