Location: Headington, Oxford, OX3 7JH

Hours: 30.5 hours per week (4 days) 9am – 5pm 2 out of 4 days can be worked remotely

Role type: Temporary for 6 months with possibility of extension

JOB PURPOSE

To provide a comprehensive administrative and secretarial support function to the Mental Health Division Senior Management Team

Duties to include but not limited to:

  • Monitoring shared mailbox
  •  Opening, sorting, and distributing internal and external correspondence.
  • Arranging meetings for members of the team, this will include liaising with internal and external professionals, arranging room booking and ordering any hospitality requirements.
  • Diary management and ensuring that Quality team is supported in the scheduling of their diaries.
  • Ensure leads are fully briefed for all meetings and have all necessary documentation.
  • Minute meetings where necessary
  • To assist in liaising with relevant people over the preparation of agendas and supporting papers for meetings
  • To draft and produce professional correspondence quickly and accurately.
  • To maintain up to date filing systems and databases
  • To prioritise and arrange workloads dependant on requirements.
  • To maintain and support accurate records, such as turnaround documents; annual leave records; training records; expense forms.
  • To be able to support in data or information collation; interpretation; and analysis.
  • To adopt quality systems / measures to ensure work and correspondence is accurate and without error.

This role may require you to show evidence of vocational level 3 qualification or at least 2 years relevant experience.

You’ll learn the following whilst working at the trust:

  1. An in depth understanding of the roles and responsibilities involved in working within the NHS  
  2. Knowledge of the systems used, to effectively complete your role to the highest standard at all times  
  3. A sense of teamwork, gained through working alongside and supporting colleagues from all levels, within the organisation 

You’ll have the following skills/experience:

  • Organised individual with experience of working in a complex environment
  • Competent with Microsoft office programmes
  • Audit management (desirable)
  • NHS experience (desirable)
  • Good general computer literacy
