Unity Resourcing is delighted to be supporting our client with the recruitment of a Reception & Office Administrator to join their team on a permanent, part-time basis.

This is an excellent opportunity for an organised, friendly and professional individual who enjoys working in a varied administrative role and being the welcoming face of a business.

The Role

Working closely with the Office Manager, you will provide an efficient and professional reception service while supporting a variety of departments across the business, including Sales, Operations, Marketing, Accounts, HR, Production and Procurement.

No two days will necessarily be the same, making this an ideal role for someone who enjoys variety, working with people and keeping things organised.

Key Responsibilities

  • Provide a professional and welcoming front-of-house reception service, greeting visitors and ensuring they check in appropriately.
  • Answer and manage incoming telephone calls, directing callers to the appropriate person or department and taking accurate messages.
  • Provide refreshments for visitors and internal meetings as required.
  • Coordinate meeting room bookings, pool car reservations and catering arrangements.
  • Receive, open, date-stamp, sort and distribute incoming mail, excluding personalised correspondence.
  • Manage outgoing mail and ensure it is dispatched promptly.
  • Maintain a clean, tidy and welcoming reception area and meeting rooms.
  • Monitor incoming website enquiries, ensuring they are logged accurately and forwarded to the relevant sales contact or department.
  • Produce regular reports relating to website enquiries as required.
  • Assist with general office management tasks, including coordinating maintenance and liaising with external service providers.
  • Provide general administrative support across a range of departments within the business.

Candidate profile

  • Friendly, approachable and professional.
  • Highly organised with excellent attention to detail.
  • Confident in communicating with people at all levels.
  • Comfortable answering telephone calls and dealing with visitors.
  • Able to prioritise and manage a varied workload effectively.
  • Reliable, proactive and able to work independently.
  • A good team player who is happy to support colleagues across different areas of the business.
  • Confident using standard Microsoft Office packages and general office systems.
  • Previous reception or administration experience would be advantageous, although a positive attitude and willingness to learn are equally important.

If you are an organised and personable administrator looking for a part-time role where you can make a real contribution to the smooth running of a busy office, we would love to hear from you. To find out more, apply today or contact Helen at Unity Resourcing for a confidential discussion.
