Receptionist / Front of House Coordinator
Milton Keynes Area | £30,000 - £35,000 | Full-Time | On-Site (5 Days per Week)
About the Role
We are seeking a professional, proactive, and highly organised Receptionist / Front of House Coordinator to provide a first-class experience for employees, visitors, contractors, and senior stakeholders.
This is a varied role combining front-of-house responsibilities, office administration, executive support, visitor management, and workplace coordination. You will be the face of the business, ensuring the smooth day-to-day operation of reception services while providing administrative support to senior leaders and coordinating a range of site services.
Key Responsibilities
Reception & Visitor Management
- Provide professional and welcoming reception coverage for employees, visitors, and contractors.
- Manage visitor registrations, inductions, and access requirements.
- Maintain accurate visitor records and ensure a consistently positive front-of-house experience.
Administration & Executive Support
- Support senior leaders with diary management, meeting coordination, travel arrangements, expenses, and document preparation.
- Coordinate visitor itineraries, workshops, and events, ensuring all requirements are delivered accurately and on time.
Workplace & Facilities Coordination
- Coordinate meeting rooms, catering, hospitality, and other workplace services.
- Liaise with Facilities, IT, Security, Health & Safety, and external suppliers to resolve day-to-day operational issues and ensure actions are completed promptly.
Access & Compliance Administration
- Administer access control, badge management, vehicle access, and emergency roll-call records.
- Maintain accurate records, process requests efficiently, and ensure compliance with established site procedures.
How Success Will Be Measured
- Providing a professional reception service with positive feedback from visitors, employees, and stakeholders.
- Maintaining accurate visitor, access, and compliance records with minimal errors.
- Delivering executive and administrative support to agreed deadlines with a high level of accuracy.
- Ensuring workplace services, meetings, and hospitality arrangements are delivered smoothly with minimal disruption or booking conflicts.
What We're Looking For
- Previous experience in a reception, front-of-house, office coordination, administration, or executive support role.
- Excellent customer service and communication skills.
- Experience coordinating meetings, diaries, visitors, and administrative activities.
- Proficiency in Microsoft Outlook, Teams, Word, Excel, and other Microsoft Office applications.
- Strong attention to detail and ability to handle confidential information professionally.
Desirable
- Experience within an engineering, manufacturing, technical, or corporate environment.
- Experience with visitor management, access control, roll-call, or workplace systems.
- Experience coordinating events, hospitality, catering, and meeting logistics.
- Knowledge of purchasing processes, expenses, or supplier administration.
