Our client, a leading provider of facilities services in the UK, is seeking a Receptionist to provide a welcoming and efficient front-of-house experience, ensuring every visitor receives a consistently high level of service.
Reporting to the Workplace Manager, you will play a key role in delivering a positive first impression while upholding organisational procedures and security requirements. You will be responsible for ensuring that all visitors, callers and stakeholders receive a professional and courteous service at all times.
This is a varied role requiring excellent communication skills, strong attention to detail and the ability to manage multiple priorities in a busy environment. You will also support wider workplace operations, helping to ensure the smooth day-to-day running of the site.
Job Description
We are looking for an organised and professional individual who can effectively manage the reception area, prioritise daily tasks and provide administrative support where required.
The successful candidate will be comfortable working in a dynamic environment and capable of maintaining high standards of customer service while adhering to operational and security procedures.
Key Responsibilities
- Provide a welcoming and professional first point of contact for all callers and visitors.
- Answer incoming calls, manage enquiries and relay messages accurately when required.
- Meet and greet visitors, obtain relevant approvals and escort guests as necessary.
- Maintain the reception area to a clean, tidy and presentable standard at all times.
- Ensure accurate sign-in and sign-out records are maintained for all visitors.
- Maintain daily visitor lists and ensure compliance with site procedures.
- Monitor and order office supplies and maintain reception equipment.
- Support the Workplace Manager with operational activities, administrative tasks, meeting room bookings and event preparation.
Person Specification
- Excellent written and verbal communication skills.
- Strong customer service skills and the ability to handle challenging situations positively.
- Good interpersonal skills with the ability to communicate information clearly and effectively.
- Strong planning, organisational and problem-solving abilities.
- Ability to work under pressure and manage multiple tasks simultaneously.
- Experience in a reception role within a building or site environment.
- Experience working within environments that operate security protocols.
- Ability to manage high visitor volumes while maintaining excellent service standards.
