Receptionist responsibilities:

Maintain the efficient day to day operation of the reception including the delivery of exceptional customer service both in person and over the phone. 

  • To be responsible for conducting key reception duties including switchboard and face to face services provided to all employees, customers, and other visitors.
  • Greet all employees & visitors to our Northampton Head Office in a polite and professional manner, displaying a friendly demeanor and assisting all visitors through their visit by providing accurate information and ensuring that every effort is made to accommodate their requests.
  • To assist and facilitate employee bookings of all conference and meeting rooms. Be fully aware of all activities taking place in the building daily and to provide support and assistance to deliver a first-class service to all stakeholders.
  • Ensure all employees and visitors access the premises in the correct manner observing all associated processes for registering and monitoring access and the logging of visitors/contractors in/out of the premises
  • To understand local and building specific information to supply advice and guidance to employees and visitors supporting them wherever possible. To understand specific H&S processes for the premises to support and facilitate during specific events, visits, evacuations, and 1st Aid situations.
  • To assist with several administrative duties, such as, but not limited to, processing incoming/outgoing post, raising purchase orders, hospitality requests, and signing in/out of any contractors whilst issuing and understanding any Work Permits, as and when required. 

What the receptionist will ideally have:

  • Experience in reception processes and switchboard and the ability to converse confidently & openly in person and over the phone.
  • Excellent interpersonal and communication skills with the ability to deal effectively with all internal and external guests.
  • Good ability to work well under pressure.
  • Good ability to work flexibly and as part of a team.
  • Ability & confidence to work with people in the company at all levels (CEO & Board to general employees & visitors).
  • Good working knowledge of technology systems used to deliver a first-class reception experience.
  • Good working knowledge of PCs including Excel, Word, Microsoft Teams, and outlook.
