We are recruiting for a Sales Administration Assistant on a temporary basis until January 2027 for our client in Rugby Location: Rugby Salary: £14.58 per hour Hours: Full-time (Monday to Friday) temporary ongoing until January



About the Role

This temporary ongoing role will support the smooth running of daily sales operations, helping to process customer orders, coordinate service activity, and maintain excellent customer relationships.



Key Responsibilities

  • Process a high volume of spare parts orders accurately and efficiently.
  • Issue order confirmations and ensure customer transactions are handled promptly.
  • Maintain accurate pricing information and ensure customer contracts are kept up to date.
  • Produce and share monthly sales reports to support business planning and performance tracking.
  • Support the sales and engineering teams in achieving departmental objectives.
  • Handle incoming customer calls and manage high volumes of customer emails professionally.
  • Build and maintain strong relationships with existing customers to support parts sales.
  • Coordinate technician jobs from initial booking through to completion and timely invoicing.
  • Order parts for service and repair work, ensuring availability within required timescales.
  • Arrange service schedules with Field Engineering teams.
  • Resolve customer queries, issues, and complaints through to completion.
  • Share customer feedback internally to help improve service quality and performance.
  • Work closely with Sales Managers on promotional campaigns and customer outreach activity.
  • Ensure every customer receives a positive, professional, and efficient service experience.


Skills and Experience Required

  • Minimum of 5 GCSEs at grades A-C / 4-9, including English and Maths.
  • At least 3 years' experience in sales administration, order processing, or a similar customer-focused administrative role.
  • Strong organisational skills with the ability to manage competing priorities and deadlines.
  • Excellent communication skills and a professional, customer-first approach.
  • Confident IT skills, including Microsoft Word, Excel, and Outlook.
  • Experience using SAP, CRM systems, or similar business systems would be highly desirable.
  • High attention to detail with strong accuracy levels.
  • Ability to work both independently and collaboratively as part of a wider team.


Desirable

  • NVQ Level 2 or 3 in Customer Service, Business Studies, or a related subject.
  • Experience in inventory control, parts coordination, or supply management.
  • Recent graduate with relevant placement or practical business administration experience.
