Our client, a leading provider of facilities services in the UK, is seeking a Scheduler to play a central role in its operations, ensuring engineers are scheduled efficiently, service levels are met, and communication is maintained between engineers, supervisors, clients, and internal stakeholders.
Job Description
This is a fast-paced, computer-based role where priorities can change throughout the day. Success in the position depends on effective workload management, strong organisational skills, and the ability to remain calm and focused under pressure.
The successful candidate will be confident using multiple systems, comfortable communicating by telephone throughout the day, and capable of coordinating work activities to meet SLA requirements. Working closely with operational teams, you will monitor work orders, manage schedules, and maintain accurate records and documentation to support service delivery.
The Scheduler will be responsible for coordinating engineers' workloads, managing work order activity, monitoring performance against service level agreements, and ensuring effective communication across operational teams. The role requires strong attention to detail, excellent organisational skills, and the ability to adapt to changing priorities throughout the working day.
Key Responsibilities
- Review breach reports and identify urgent or early breaches requiring action.
- Escalate critical issues, at-risk jobs, and potential SLA breaches to Team Leaders or Supervisors.
- Allocate jobs to engineers based on priority levels and SLA requirements.
- Prioritise and manage work orders approaching deadlines.
- Maintain accurate work order updates, status changes, and detailed notes within Maximo and other systems.
- Liaise with engineers, supervisors, subcontractors, and colleagues to ensure effective coordination of work.
- Manage shared inboxes, monitor Teams messages and emails, and handle inbound calls professionally.
- Process returned work orders, update records, prepare shift handovers, and support planned preventative maintenance scheduling.
Person Specification
- Strong computer literacy and confidence using multiple systems.
- Previous experience within customer service, call centre, scheduling, coordination, service desk, or administrative environments.
- Ability to work effectively in a fast-paced environment.
- Excellent communication skills, both written and verbal.
- Strong organisational skills and attention to detail.
- Professional and customer-focused approach.
- Ability to prioritise workloads and manage competing deadlines.
- Willingness to learn and develop, with confidence speaking on the telephone throughout the day.
