We are seeking a dedicated School Administrator to help ensure the academy runs smoothly, safely, and in line with statutory requirements, enabling staff to focus on the children and young people in our care.
The Role
As School Administrator, you will be a central point of contact for families, professionals, visitors, and staff, ensuring that communications, records, and systems are accurate, secure, and effective.
You will manage reception and the switchboard, maintain confidential learner and staff records, support attendance administration, statutory returns, and census data, and ensure compliance with key legislation and guidance including UK GDPR, the SEND Code of Practice, KCSIE, the Equality Act 2010, and Independent School Standards.
You will also support safeguarding and compliance processes, including maintaining the Single Central Record, managing secure documentation, and preparing records for inspections, audits, and reviews.
Working closely with the Senior Leadership Team, teachers, therapists, and external partners, you will help ensure that our administration is efficient, inclusive, and sensitive to the needs of neurodiverse learners and their families.
Key Responsibilities
- Manage reception, telephone enquiries, visitors and correspondence in a professional, welcoming and sensitive manner.
- Maintain accurate and secure pupil records, admissions files, EHCP documentation, medical information and consent forms in line with statutory and data protection requirements.
- Operate attendance systems, complete statutory returns, school census tasks and reporting requirements within deadlines.
- Support safeguarding administration, including secure incident logs, referral records and the Single Central Record (SCR) in line with KCSIE.
- Assist with safer recruitment by recording and verifying pre-employment checks before staff or volunteers start work.
- Maintain staff records, contracts, training logs and absence data with strict confidentiality.
- Process invoices, orders and financial records in line with school procedures.
- Keep health and safety, premises and resource records up to date to support a safe, well-equipped environment.
- Organise meetings, events and visits, including logistics, documentation and communications.
- Communicate clearly and empathetically with families, staff and professionals, adapting communication to meet accessibility needs.
What We Are Looking For
Essential criteria:
- Proven experience in administration, office support or a similar role, with excellent organisation, accuracy and time management skills.
- Confident user of Microsoft Office, email systems and databases, with the ability to maintain accurate digital and paper records.
- Strong understanding of confidentiality, UK GDPR and the safe handling of sensitive information.
- Experience or awareness of education, health, social care or regulated settings, including compliance requirements.
- Excellent written and verbal communication skills, with the ability to adapt your approach for children, families, professionals and colleagues.
- Calm, empathetic and professional manner, with the discretion and reliability needed in a specialist SEND environment.
- Ability to work independently, use initiative and contribute positively to a close-knit team.
- Understanding of safeguarding principles and a clear commitment to the welfare of children and young people.
Desirable Criteria:
- Experience in SEND education, independent schools or specialist provision.
- Knowledge of KCSIE, the SEND Code of Practice, the Equality Act 2010, EHCPs and multi-agency working.
- Experience with the Single Central Record, attendance administration, school census or financial administration.
- Relevant qualification in Business Administration, Office Management or Information Governance.
