Department: Secure Services Integrated Mental Health & Justice Pathway Admin Team
Duration: This is a temporary role, and it is currently due to last 6 months
Working Hours: 30 hours per week
Friday + any 3 days between Mon – Thu
8am - 4pm, 8:30am - 4:30pm or 9am - 5pm
Pay Banding: Band 4 - £14.52 per hour
Trust Location: Norfolk and Suffolk NHS Foundation Trust
The postholder must have the following experience:
· Pitman / RSA III Typing / Word processing or equivalent experience at intermediate level
· Experience in a full range of secretarial procedures and system knowledge at intermediate level
· Experience of working with Electronic Patient Record systems
· Audio Typing experience
· Experience of Supervision of staff
· Holds a full UK driving licence
THE POSTHOLDER WILL BE REQUIRED TO GO THROUGH THE PROCESS TO BE PRISION VETTED BEFORE STARTING THE ROLE
The postholder will be required to deal with people in prison and potentially visit prisons in parts of this role.
Job Description
ROLE SUMMARY
· Provide secretarial / administrative support to the team in order that they can provide an efficient service to all customers.
· Provide supervision, support appraisals and training to a number of identified (lower banded) admin staff.
· Respond to the needs of the service to ensure that the requirements of the Trust can be met.
· Supervise lower banded staff.
DUTIES AND RESPONSIBILITIES
Clinical Support
· Provide accurate, prompt and efficient secretarial/administrative support to the multidisciplinary team which may include presentations / spreadsheets including complex and confidential reports.
· Deal effectively, professionally and courteously, with all types of patient referrals liaising directly with General Practitioners, clinical and medical staff from other areas, service users and their relatives.
· Liaise with appropriate team members in the case of requests for urgent visits or other emergencies.
· Liaise in a professional manner with each member of the team, providing relevant information.
· Ensure the workload of the clinical support team is prioritised to ensure patient safety and meet quality standards.
· Manage and re-arrange team appointment systems and diaries.
General
· Ensure patient information is managed, retained and stored in line with Trust policy in an efficient and effective manner.
· Raise agendas, take and process minutes for teams across the locality.
· Attend and contribute to all internal / external meetings relevant to the post.
· Provide data as requested.
· Provide cover to other administrative staff during holidays and sickness, across the locality.
· Order stores as requested by the team.
· Liaise with maintenance departments as delegated by line manager regarding buildings and general maintenance.
· Liaise with ICT departments as delegated by line manager regarding problems and faults with electronic equipment etc.
· Encourage staff to operate a flexible approach to work, be adaptable to change and able to work within a team across the locality.
· Undertake any other appropriate tasks as requested to meet the needs of the service.
