We are recruiting on behalf of a leading specialist contractor delivering major projects across the data centre, critical infrastructure and energy sectors.
This is an excellent opportunity for an organised and proactive Site Secretary / Site Administrator to join a major hyperscale data centre project in Acton. You'll play a key role in supporting the site team, ensuring the office runs efficiently while providing first-class administrative support to project managers, engineers and visitors.
The Role As Site Secretary, you'll be the central point of contact for the site office, managing administration, reception duties and day-to-day office operations. You'll help keep the project running smoothly by maintaining accurate records, coordinating communications and supporting the wider project team.
Key Responsibilities
  • Welcome visitors and manage the site reception area.
  • Provide administrative support to the site management team.
  • Manage emails, correspondence and office communications.
  • Organise meetings, diaries and meeting room bookings.
  • Maintain accurate site records, registers and documentation.
  • Support document control and data entry.
  • Coordinate office supplies, PPE and stationery.
  • Assist with deliveries and office facilities management.
  • Support health & safety administration, notice boards and compliance records.
  • Build strong relationships with project teams, contractors and visitors.
About You We're looking for someone who is organised, friendly and enjoys working in a busy project environment.
Essential:
  • Previous experience in an Administration, Office Coordinator, Reception or Site Administrator role.
  • Strong Microsoft Office skills (Word, Excel, Outlook and PowerPoint).
  • Excellent organisational and communication skills.
  • Ability to manage multiple tasks and priorities.
  • High attention to detail and accuracy.
  • GCSEs (or equivalent), including English and Maths.
Desirable:
  • Previous experience within construction, engineering or a project environment.
  • Business Administration qualification.
  • First Aid at Work or Fire Marshal training.
  • Experience supporting busy site or project teams.
