What you'll do:
- Meeting and diary coordination – organising meetings and calls (internal / client, liaising with other assistants accordingly) - proactive in resolving conflicts.
- Strategic diary management being aware of stakeholder(s) priorities and managing tasks/diaries accordingly
- Project support – includes team diary management, collating and preparing invoices for clients, organising mandate letters and other document preparation for client pitches
- Produce PowerPoint presentations using either our corporate template or using a client’s corporate style / brand
- Global travel management; arranging all travel, airport transfers, accommodation, visas and associated admin
- Ensure that all calls and oral communications are appropriately recorded and dealt with without delay.
- Build good working relationships with team members, TA/EAs and all members of staff across the business
- Work closely with other Assistants within the business area to provide cover/assistance where necessary.
- Organisation of closing dinners (UK and international), and or other large-scale events.
- Organise and co-ordinate client entertaining events / team events
- Reception cover when required - answering the door / greeting clients / taking deliveries / assisting contractors / setting up meeting
- Printing and binding of presentations
- Arrange couriers, dealing with incoming and outgoing post.
- Any other reasonable duties as requested by the Company
Who You Are:
- Good knowledge of Microsoft Outlook, Word, Excel
- Must have strong PowerPoint skills and to be able to use it with confidence
- Effective communication skills.
- Proactive attitude with the ability to demonstrate initiative, attention to detail and reliability.
- Successfully supports peers and wider team when required.
- Highly organised.
- Able to multi-task and prioritise tasks effectively.
- Excellent written and verbal communication skills.
- Self-motivated and reliable with a flexible attitude.
- Ability to act with good judgement and common sense
