Our client, a leading provider of facilities services in the UK, is seeking a Technical Administrator to support the coordination and delivery of planned preventative maintenance (PPM) activities and associated compliance processes.

Job Overview

This role plays a key part in ensuring the smooth coordination of PPM programmes and associated maintenance activities. Working closely with the Technical Services Team Leader and wider operational teams, you will help ensure that all activities are delivered in line with contractual and compliance requirements.

You will be responsible for organising administrative workflows, maintaining accurate documentation, and supporting both in-house and subcontracted maintenance works. A proactive and organised approach is essential to ensure that tasks are tracked effectively and completed within required timelines while maintaining high standards of service delivery.

Key Responsibilities

  • Coordinate administrative activities related to PPM scheduling and delivery
  • Support the Operations Delivery Lead with execution of the PPM programme
  • Track, record, and monitor compliance processes and remedial actions through to completion
  • Maintain accurate asset registers in collaboration with the Asset Manager
  • Manage and organise compliance documentation, ensuring records remain up to date
  • Act as a central coordination point between internal teams, helpdesks, site teams, and subcontractors
  • Support communication workflows to ensure tasks are completed within agreed timelines
  • Assist with scheduling both planned and reactive maintenance activities

Person Specification

  • Background in Facilities Management (FM) or Building Services
  • Good understanding of PPM and reactive maintenance works
  • Experience of scheduling and subcontractor coordination
  • Ability to work across multiple projects and engage in calls/meetings with management
  • Strong IT skills, including proficiency in Microsoft Excel and Word
  • Experience working with a static engineering team
  • Strong customer relationship management skills, including handling challenging situations
  • Excellent written and verbal communication skills, along with strong organisational and problem-solving abilities
