Temporary Office Administrator / Scheduling Coordinator

Our client, a professional and growing security services company based in Witham, is seeking a reliable and organised Temporary Office Administrator / Scheduling Coordinator to support the day-to-day coordination of security personnel and provide essential administrative support to the operations team.

This is a key role within a busy security operation, focusing on staff scheduling, shift coordination, client communication, and general office administration. The successful candidate will play an important part in ensuring security officers are deployed efficiently, rotas are maintained accurately, and operational records remain up to date.

This position would suit an experienced administrator, scheduling coordinator, operations administrator, workforce planner, or office coordinator who enjoys working in a fast-paced operational environment.

Key Responsibilities

Scheduling & Operations Administration

  • Coordinate and maintain daily and weekly staff rotas for security personnel.
  • Allocate shifts and ensure all client sites are adequately staffed.
  • Respond to last-minute absences by arranging suitable shift cover.
  • Liaise with security officers regarding shift allocations, availability, and operational updates.
  • Update scheduling systems and maintain accurate staffing records.
  • Support the Operations Manager with workforce planning and day-to-day scheduling activities.
  • Communicate professionally with clients regarding staffing requirements and operational queries.
  • Ensure all scheduling changes are communicated promptly to relevant personnel.

Office & Administrative Support

  • Manage incoming telephone calls and emails professionally.
  • Maintain accurate employee records and operational documentation.
  • Update spreadsheets, databases, and internal management systems.
  • Monitor staff availability, annual leave requests, and absence records.
  • Assist with general office administration and provide support to management as required.
  • Handle confidential information with discretion and professionalism.

Compliance & Staff Records

  • Maintain accurate records relating to employee documentation and compliance.
  • Monitor expiry dates for SIA licences, training certificates, and other mandatory documentation.
  • Assist with maintaining compliance records to ensure operational requirements are met.
  • Support the onboarding administration of new employees when required.
  • Ensure all documentation is processed accurately and filed appropriately.

About You

The ideal candidate will have:

  • Previous experience within administration, scheduling, workforce planning, operations support, or a similar role.
  • Previous experience scheduling or coordinating staff within the security industry.
  • Experience working within security, facilities management, logistics, healthcare, or another 24-hour operational environment.
  • Knowledge of SIA licensing requirements and security industry compliance.
  • Experience dealing with shift planning, workforce coordination, or operational administration.

Additional Information

Temporary position

£15.00 per hour

Monday to Friday, 09:00 – 17:00

Based in Witham, Essex
