Payrate: Band 2, £12.71 per hour
Shift Patterns: Monday - Sunday shifts will be on a rota- Day shifts (07:30-15:30 / 15:30- 23:30) (37.5 hours per week)
Duration: Start: ASAP, End: August 2026 (weeks)
System Knowledge: Microsoft packages.
Job Description:
To provide administrative and clerical support to the Maternity Ward Sister and ward
team, carrying out assigned tasks in respect of a comprehensive clerical and
computer service to the work area. To provide an accurate and efficient data entry
service of patient information on a daily basis, and to provide a daily reception service
to the Ward area. The Ward Clerk will be expected to participate in a duty rota
including working weekends, evenings and nights
RESPONSIBILITIES
1. Act as the focal point of administrative communications for the Maternity Ward,
taking all telephone enquiries, personal callers/visitors and directing patients where
necessary.
2. Register, collate and enter onto the computer system all patient held records, as
well as collecting and filing all in-patient books and, when necessary, register new
patients using the Medway/Evolve system.
3. Enter basic patient data onto the computer, especially admission, transfer and
discharge details.
4. Prepare documentation from admission to discharge for use by the Midwifery
team.
5. Filing of documentation in patients’ notes.
6. Ensure that patient notes and x-rays are obtained for elective and emergency
admissions.
7. Maintain patient notes on the ward in an organised and methodical manner
according to Trust guidelines, including filing of results, printing patient labels.
8. Ensure there is an adequate supply of appropriate patient information leaflets and
paperwork required by staff.
9. Liaise with Child Health as required.
10. Check the Medway error folder daily to ensure errors and issues are resolved.
11. Update the staffing boards daily.
12. Ensure signage around the ward is up-to-date.
13. Make outpatient appointments and send to patients if discharged.
14. Assisting with writing staffing daily sheets.
15. Maintain an accurate filing system to enable rapid retrieval of information from
computer and paper systems.
16. Where ‘top-up’ services are not provided, requisition stock and non-stock items,
record and check same on receipt.
17. Manage stationary and stores stock levels.
18. Assist ward staff / Matron with office work as appropriate, i.e. typing memos,
minutes.
19. Photocopying and filing, as requested by the Ward Sister /Matron.
20. Downloading ward emails.
21. Understand the importance of fire precautions and awareness of Trust policy
regarding emergency procedures.
22. Attend in-service and other training programmes as required.
23. Assist in other wards/departments as requested by the Head of Midwifery/Matron.
24. Ensure general tidiness of working area.
25. Report any defects, relating to the maintenance of the ward environment, to the
Ward Sister and take appropriate action.
26. Supervise and attend to needs of visitors.
27. Undertake any other duties as requested by Shift Co-ordinator.
28. Co-ordinate annual leave with other Ward Clerks, covering for absences including short term sick leave.
