Our client, a leading provider of facilities services in the UK, is seeking a Workplace Coordinator who will play a pivotal role in ensuring the smooth day-to-day operation and administration of the workplace environment.
This position focuses on delivering efficient back-office support, facilities coordination, and workplace services that contribute to a positive experience for both employees and visitors. The role supports workplace functionality across two locations, requiring a balanced presence in Glasgow (3 days) and Edinburgh (2 days).
The successful candidate will collaborate with workplace teams, suppliers, and stakeholders to maintain high standards of service delivery. In addition to supporting facilities management and workplace operations, the role will contribute to compliance and continuous service improvement initiatives.
Key Responsibilities
- Provide comprehensive support to workplace leadership and wider workplace teams
- Liaise with and support the client’s Business Administration team
- Coordinate and set up meeting rooms and conference facilities for business activities
- Maintain workplace records, reports, and documentation to ensure compliance with policies and standards
- Support workplace services such as cleaning, catering, and maintenance to ensure seamless operations
- Monitor workplace management systems, ensuring accurate data input and reporting on key metrics
- Act as the primary point of contact for workplace queries from employees and contractors
- Maintain health and safety records, support ESG initiatives, and ensure compliance with relevant policies
Person Specification
- Background in Facilities Management (FM)
- Understanding of compliance requirements and technical awareness within workplace environments
- Strong attention to detail with a focus on accuracy and standards
- Proactive problem-solving approach with a mindset for continuous improvement
- Excellent collaboration and communication skills
- Effective time management and ability to prioritise multiple tasks
- Customer-focused, with a commitment to delivering high-quality workplace experiences
