About the role
We are currently recruiting for a Workshop Administrator to join a busy Workshop function based in Derby.
This Workshop Administrator role will provide high quality administrative support to the day-to-day running of the vehicle workshop. You will act as an important point of contact for visitors, technicians and internal customers, ensuring work is booked in correctly and customers are kept updated on the progress of vehicles.
The successful Workshop Administrator will ideally have previous experience working on a service reception desk or within a vehicle workshop environment. You will be comfortable taking and issuing vehicle keys, logging jobs and working with vehicle records and fleet systems.
This is initially a temporary maternity cover position, with the potential for the role to become permanent based on performance.
Key responsibilities
• Receive visitors and provide a professional and helpful service to colleagues and internal customers
• Book in both planned and reactive workshop work
• Record workshop bookings on the relevant spreadsheets
• Create jobs for technicians using the Fleet Management system
• Take in vehicle keys and clearly tag them with details of the work required
• Manage vehicle keys and workshop parking
• Provide courtesy vehicles where appropriate
• Keep internal customers updated on vehicle progress throughout the workshop process
• Maintain progress spreadsheets and provide updates by telephone where required
• Enter manual records accurately onto the Fleet Management system
• File records and documentation into vehicle files
• Assist with compiling recharge information relating to Derby Homes and Nottingham City Council
• Support the wider Fleet function during periods of absence, including organising hire vehicles and fuel cards
• Assist with issues relating to the onsite fuel management system
• Carry out other reasonable tasks requested within the Workshop function
Skills and experience
• Previous experience working within a vehicle workshop, garage or service reception environment is highly desirable
• Experience working as a Workshop Administrator, Service Receptionist or in a similar automotive administration role
• Confident taking and issuing vehicle keys and managing vehicle movements around a workshop
• Experience logging vehicle jobs and maintaining accurate workshop records
• Good IT and administration skills, including the ability to maintain spreadsheets and electronic records
• Strong organisational skills and attention to detail
• Good communication skills with the ability to deal confidently with technicians, visitors and internal customers
• Able to work effectively in a busy workshop environment and manage competing priorities
• Previous experience using a Fleet Management system would be advantageous
