We support both the wider H W Martin Group fleet and a growing portfolio of external customers, providing a professional, responsive and high-quality fleet maintenance service.
The Opportunity
As part of the continued expansion of H W Martin Fleet Maintenance, we are looking to recruit a Workshop Support Administrator to join our busy Fleet Maintenance operation at Blackwell.
Reporting to the Service Manager, you will work closely with and provide day-to-day administrative and coordination support to our HGV/LCV Workshop Manager and Plant Workshop Manager.
By taking ownership of routine administration, communication and follow-up activities, you will allow the Workshop Managers to concentrate on the effective management of our technicians, workload and workshop operations.
This is not simply a desk-based administration role. You will sit at the centre of a busy operational environment and act as an important link between Workshop Management, Service Reception and the Parts Department. You will help ensure that information flows effectively, actions are followed through and issues do not fall between departments.
The role will suit an organised, approachable and proactive individual who enjoys dealing with people, takes ownership of tasks and is comfortable working across different departments.
Key Responsibilities
- Provide day-to-day administrative support to the HGV/LCV and Plant Workshop Managers.
- Act as a key link between Workshop Management, Service Reception and the Parts Department.
- Handle incoming telephone calls, internal enquiries and messages, ensuring information reaches the appropriate person promptly.
- Assist with job cards, workshop records, work in progress and associated service documentation.
- Liaise with Service Reception regarding bookings, customer requirements, job progress and completion information.
- Liaise with the Parts Department regarding parts availability, outstanding requirements and workshop priorities.
- Chase outstanding information and actions to help maintain an efficient flow of work through the workshop.
- Assist Workshop Management with the collation of information for operational reporting and performance monitoring.
- Maintain accurate electronic records where required.
- Identify administrative delays or communication gaps and ensure these are raised and progressed appropriately.
- Support effective communication between departments and help resolve day-to-day issues in a constructive and professional manner.
- Provide general administrative and operational support across the Service Department as required.
About You
The successful candidate will have strong administrative and organisational skills, but equally important will be your ability to communicate effectively and build positive working relationships with people throughout the business.
You will be:

- A confident communicator with a professional telephone manner.

- Comfortable working between different departments and helping to bring people together to achieve a common objective.
- A genuine team player with a practical and flexible approach.
- Competent in Microsoft Office and general computer-based administration.
Previous experience within vehicle maintenance, transport, fleet, plant or a workshop environment would be advantageous but is not essential. Experience within service administration, workshop administration or a similar operational support role would also be beneficial.
For the right candidate, attitude, organisation and the ability to work effectively with people will be considered more important than previous industry experience.
